The Document Controller is responsible for managing, organizing, and maintaining project documentation for a large Facility Management / Operations & Maintenance project. The role ensures accurate control, tracking, and secure management of all documentation while supporting the project team with efficient document workflows.
Your roleDocument Management
Manage, control, and maintain all FM project documents in compliance with internal quality procedures and ISO documentation requirements.Maintain a central document tracking and archiving system.Ensure timely distribution and acknowledgment of controlled documents.Review document submissions for accuracy and compliance with approved formats.System Administration
Upload, update, and archive documentation in CAFM/Fusion or similar document control platforms.Maintain version control and ensure proper archiving of obsolete documents.Quality & Compliance
Ensure adherence to approved document control procedures.Support audits, inspections, and compliance reviews through accurate document preparation.Coordination & Communication
Liaise with Project Managers, FM supervisors, contractors, and support teams for document submissions and approvals.Provide guidance regarding document control processes and requirements.Training & Development
Attend mandatory FM-specific training programs as required.Participate in training for Document Control Procedures, ISO Standards, and CAFM/Fusion systems.About youQualifications & Education
Bachelor’s degree required (Business Administration, Information Management, or related field).Additional training in Health & Safety Induction, Document Control Procedures, CAFM/Fusion System, and ISO Documentation Standards is preferred.Skills & Competencies
Strong organizational and time‑management skills.Excellent verbal and written communication.High attention to detail and accuracy.Ability to maintain confidentiality and handle sensitive information.Proficiency in MS Office Suite.Familiarity with CAFM systems is desirable.Knowledge of ISO documentation standards is an advantage.Mandatory Requirements
