Job Description

We are seeking a detail-oriented and organized Document Controller to join our dynamic team in Mumbai, India. In this crucial role, you will be responsible for establishing and maintaining efficient document management systems, ensuring the accuracy and accessibility of critical project information.

Establish and maintain a comprehensive library of reference documents, adhering to company quality standards and record-keeping proceduresDevelop and implement effective document cataloging, filing, and retrieval systems for both physical and digital documentsPrepare and distribute project correspondence, meeting minutes, and reports in a timely mannerAssist project managers and directors in preparing operations manuals and job data booksManage the document lifecycle, including cataloging, packing, and long-term storage or disposal of engineering documents at project closeoutCreate and maintain computerized indexes for active engineering documents, generating reports as neededImplement and oversee data distribution systems based on client, project, and supplier requirementsCollaborate with project teams to ensure smooth information flow and document accessibilityConduct regular audits of document control processes to identify areas for improvement and implement efficient solutionsAssist with office administration duties, including maintaining inventory of office furniture and equipment

QualificationsBachelor's degree in Business Administration, Information Management, or a related fieldProven experience as a Document Controller or in a similar role within a project-based environmentProficiency in document management systems and Microsoft Office Suite, particularly Excel for reportingStrong knowledge of filing, cataloging, and data distribution systemsFamiliarity with quality standards and record-keeping procedures in a corporate settingExperience with database management and data entryUnderstanding of project management processes and document control best practicesAbility to maintain confidentiality and handle sensitive information with discretionProactive approach to problem-solving and process improvement.
