Document Control Officer  

What this job involves: 

As a Document Control Officer at JLL, you'll serve as the backbone of our Doc Con management systems, ensuring critical documentation flows seamlessly across teams and stakeholders. This role places you at the center of our collaborative culture, where you'll manage, organize, and distribute essential documents while maintaining the highest standards of accuracy and compliance. You'll work closely with project managers, engineers, contractors, and clients to establish efficient document workflows that support our commitment to shaping a brighter way for everyone we serve. Your expertise will help drive innovative document management solutions that enhance project delivery and strengthen our ability to provide exceptional client experiences. 

What your day-to-day will look like: 

• Maintain comprehensive document control systems and databases for multiple projects simultaneously  

• Review and update the process periodically to ensure alignment with client business changes, operational modifications, or regulatory update requirements.  Distribute technical drawings, specifications, contracts, and project correspondence according to established protocols  

• Coordinate document reviews and approvals with internal teams and external stakeholders to ensure timely project progression  

• Monitor document version control and maintain accurate revision logs to prevent costly errors and miscommunication  

• Generate regular reports on document status, distribution metrics, and compliance adherence for project leadership  

• Collaborate with cross-functional teams to implement process improvements that streamline document workflows  

• Ensure all documentation meets regulatory requirements and client specifications while maintaining confidentiality standards. 

Other ad hoc tasks may be required due to business needs and assigned by the site manager. 

Required qualifications: 

• Bachelor’s degree in business administration, Information Management, or related field, or equivalent work experience  

• Minimum 3 years of experience in document control, preferably within construction, engineering, or real estate sectors  

• Proficiency in document management systems (SharePoint, BIM 360, LPT or similar platforms)  

• Strong attention to detail with excellent organizational and time management skills  

• Advanced knowledge of Microsoft Office, particularly Excel and Project 

Understanding quality assurance processes and regulatory compliance requirements. 

Preferred qualifications: 

• Experience with Building Information Modeling (BIM) and related documentation processes  

• Familiarity with ISO 9001 quality management systems and document control standards • Knowledge of construction project lifecycle and technical drawing interpretation  

• Certification in document management or records management  

Experience working in a global organization with distributed teams across multiple time zones
