Job DescriptionAECOM is seeking a qualified Document Controls Submittal Specialist for the Hamilton/GTA/.The Document Control Submittal Specialist is responsible for managing, tracking, and maintaining project documentation and submittals throughout the project lifecycle. This role ensures compliance with contractual requirements, company standards, and client specifications, while supporting project teams with timely and accurate document control processes.
Key Responsibilities:
Manage and maintain document control systems for all project-related documentation.
Review, log, and track submittals, RFIs, drawings, and other project documents.
Ensure timely distribution of documents to internal teams and external stakeholders.
Verify compliance of submittals with project specifications and contractual requirements.
Maintain accurate records of document revisions, approvals, and transmittals.
Coordinate with project managers, engineers, and contractors to resolve document-related issues.
Prepare and generate reports on document status and submittal progress.
Support audits and quality assurance processes related to document control.
QualificationsMinimum Qualifications:
Diploma or degree in Business Administration, Construction Management, or related field.2+ years of experience in document control or submittal management within construction or engineering projects.Familiarity with document control software (e.g., Aconex, Procore, SharePoint)Preferred Qualifications:
Participates with other team members to achieve common goals. 3+ years of experience in document control.Experience with large-scale infrastructure or industrial projects.Knowledge of ISO standards and quality management systems.• Works under general supervision. Troubleshoots problems of low complexity and recommends appropriate action. Effectively contributes to team goals. Project size is of low complexityProvides document management and project controls support which includes the receipt, inventory, audit, tracking, storage, retrieval and distribution of both classified and unclassified electronic, paper and other media project data and documents according to company policy, and proper procedures for the projects.Manages the set up and maintenance of document control / records management for multiple projects and Project Managers.Ensures that all local practices and activities comply with company policies and procedures.Skills:
