Document Control Specialist

**Position Summary**
The Documentation Control Specialist is responsible for the daily operation, maintenance, and support of the Product Lifecycle Management (PLM) system. This role ensures accurate document and data management, proper revision control, and smooth execution of engineering changes in alignment with AS9100 standards. The position provides hands-on administrative support to users across Engineering, Manufacturing, Quality, and Supply Chain to ensure data integrity and efficient document workflows throughout the product lifecycle.
**Key Responsibilities:**
**PLM System Administration**
• Perform day-to-day administration of the PLM system, including management of user permissions and access to documentation, process workflows, and troubleshooting.
• Monitor system performance, resolve user issues, and escalate technical problems to IT support as required.
• Maintain system’s master data and templates to ensure consistency and standardization across the company.
• Support system upgrades, patches, and configuration changes in coordination with IT.
**Document & Data Management**
• Manage the creation, release, revision, and archiving of controlled documents, drawings, models, and specifications in the PLM system.
• Ensure revision control, change history, and traceability of all configuration items.
• Support engineers to maintain accurate product structures and Bills of Materials (BOMs) within the PLM system.
• Creates and/or updates Product Baseline Records in accordance with latest Technical Data Pack [As-Design Record].
• Supports updates to Engineering Masters in accordance with latest Technical Data Pack [As-Built Record].
• Ensure obsolete or superseded documents are removed from active use in accordance with AS9100 requirements.
**Change Control Administration**
• Administer Engineering Change Requests (ECRs), Engineering Change Orders (ECOs), and deviations/waivers through the PLM system.
• Ensure proper routing, review, and approval of change workflows.
• Verify that changes are correctly implemented in system records and communicated to stakeholders.
• Supports the Site's Change Control Board (CCB), by providing daily notification and agenda of documents under review and managing their approval process and status.
**User Support & Training**
• Act as first-line support for PLM users, addressing document access issues, data errors, and process questions.
• Provide onboarding, training, and guidance to employees on PLM processes and best practices.
• Supports the development of reference guides and process documentation to improve user adoption and reduce errors.
**Process & Compliance Support**
• Ensure document control processes are executed in compliance with AS9100 requirements.
• Maintain logs, records, and system-generated reports to support internal and external audits.
• Identify opportunities to streamline workflows, reduce bottlenecks, and improve user experience.
• Supports continuous improvements activities throughout the organization as related to Configuration Management.
**Tools & Systems**
Experience with one or more of the following is preferred:
• **PLM Systems** : Oracle Agile, Siemens Teamcenter, PTC Windchill or equivalent
• **ERP/MRP Systems** : Oracle Fusion, SAP, Epicor, or similar enterprise systems
• **Collaboration Tools** : Microsoft Teams, Slack, Google Chat
• **Standard Office Tools** : Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat
**Qualifications**
**Education & Experience**
• Associate’s degree in Engineering Technology, Business, Information Systems, or related discipline is preferred.
• 2–4 years of hands-on experience administering a PLM system in aerospace, defense, or another regulated manufacturing industry.
• Knowledge of AS9100 or ISO 9001 documentation control requirements.
• Strong background in document control and configuration management processes.

• Strong technical aptitude and ability to learn new systems quickly.
• Detail-oriented with strong organizational skills and ability to manage multiple priorities.
• Excellent customer service and communication skills to support cross-functional teams.
• Ability to interpret engineering drawings, specifications, and configuration documents.
• Proactive problem-solving with focus on accuracy and efficiency.
