POSITION PURPOSE
The Logistics Specialists provide dispatching and scheduling support for the Transportation Department. Responsibilities include scheduling inbound and outbound deliveries, acting as a resource to internal and external customers and vendors, and performing a variety of advanced office clerical support duties. Logistics Specialists are skilled at handling a high volume of scheduling demands and producing accurate schedules in compliance with scheduling rules and contract requirements. This job classification requires knowledge of general dispatching practices and procedures, knowledge of state and federal level DOT regulatory requirements, the ability to prioritize and manage multiple assignments and meet tight deadlines and provide timely resolution to scheduling conflicts.
ESSENTIAL JOB FUNCTIONS AND BASIC DUTIES
*Schedules all outbound and inbound truck deliveries for the Transportation Department.
Logs appointments and orders and responds to calls and emails on scheduling issues, backhaul arrangements with outside vendors, and driver availability.
Coordinates and develops schedules for both inbound deliveries to the DC, outbound store shipments, and outbound back haul trips.
Generates reports including paper/printed reports, electronic uploads of reports into various systems and is responsible for filing or posting reports in various locations, mailboxes or files.
Develops schedules in compliance with seniority, DOT regulations and following applicable policies and procedures. Escalates exceptions and moderately complex issues to leader for guidance and resolution.
Communicates with dry, refrigerated warehouses and yard drivers regarding load completion times to ensure safety when releasing loads from warehouse doors.
Answers and solves store questions and/or problems, as necessary.
Produces reports using a variety of software applications/systems and delivers them to business stakeholders.
Requests system reports and inputs transactions according to required production schedule including order files, route files, dispatch/yard summaries, PO transactions and other reports as directed.
Logs or files reports according to department policies and procedures.
Enters in bound purchase orders in warehouse receiving scheduler (C3).
Maintains federal tax and permit requirements.
Enters data and gathers input to track and record essential information in systems and reporting software.
Inputs data accurately to multiple spreadsheets for shipping, receiving, vendor contacts, carrier lists, CARB compliance, inventory counts and financial tracking documents.
Reviews and checks worksheets and data entry for accuracy and completeness and flags issues and reports them to supervisor for resolution or inputs changes as outlined in policies and procedures.
Documents and tracks delivery performance of vendors and unscheduled PO numbers in coordination with Asset Protection.
Tracks vehicle compliance and registration.
Heavy fleet registration – annual.
Heavy fleet apportion fleet registration – annual.
Medium and small fleet registration – annual.
Insurance cards AZ \ NM – annual.
Cab cards for leased trucks.
Maintains Department of Transportation Compliance.
Tracks driver license and medical certifications for expiration to ensure TRACK driver license and medical certifications for expiration to ensure drivers remain compliant.
Schedules driver medical recertification as needed and verify that the “medical examiner” is licensed and listed on the FMCSA national registry.
Monitors driver logs for compliance purposes.

Completes industrial/incident investigation reports accurately with all the necessary detail.
Administers drug and alcohol swab test per bashas’ policy or DOT post-accident drug test when applicable.
Maintains Bashas’ Trip Management
Transcribe driver trip reports into the payroll spreadsheet.
Process payroll data for driver pay reconciliation.
Check and maintain truck odometer readings for accuracy.
Process store freight costs.
Process pick up allowances and cost.
Extract truck mileages for tax purposes.
Responds to internal and external customer inquiries and resolves issues or troubleshoots a variety of reporting, scheduling and data problems.
May communicate delivery performance information to vendors as requested.
Resolves scheduling conflicts and determines back-up solutions considering delivery and pick-up points. Provides recommendation to supervisor for approval.
Calculates costs and validates estimates for pick-up and backhauls using standardized processing and labor cost calculations.
Schedules Bashas’ trucks for outbound daily delivery to the stores and coordinates backhaul shipments to the Distribution Center including the use of third-party vendor for scheduling.
Creates master driver manifest and daily trip sheets.
Performs a variety of standard and advanced office clerical duties including processing of equipment and mail, performing filing and data entry and responding to call line and Office window assistance.
May perform special studies or projects under the direction of leader.
May provide training and assist less experienced peers.
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE:
High School Diploma or G.E.D. plus three (3) or more years of related work experience or training in the logistics field or an equivalent combination of education and experience.
REQUIRED KNOWLEDGE:
Demonstrated understanding of dispatching practices and procedures, distribution and trucking industries.
Knowledge of U.S. Department of Transportation regulations related to driver hours, screening and related issues.
Knowledge of union contract rules related to driver scheduling.

PHYSICAL DEMANDS - Employees may occasionally experience the following physical demands for extended periods of time:
Sitting; frequent sedentary work.
Talking on phone; multi-tasking while talking with drivers, management and vendors.
Viewing computer monitor; average, ordinary visual acuity necessary to prepare documents, enter data into computer system, read reports to and from computer monitor.
Keyboarding; use of fingers to make small movements such as typing.
WORK ENVIRONMENT
Work is performed in an active, 24/7 warehouse environment. May be required to work holidays.
