Job Description
The role of Dispatcher involves managing dispatch and scheduling tasks, ensuring efficient coordination of technicians for both emergency and scheduled maintenance service calls. This position also requires handling job setup, tracking, documentation, billing, cost reviews, and internal coordination, while providing administrative and compliance support.
Responsibilities
Take client service calls and open jobs following established procedures.Dispatch technicians for emergency and scheduled maintenance service calls.Assist with technician scheduling and execute daily schedules with operations managers.Verify technician times and job status (open vs. complete).Provide coverage during lunch periods and employee sick or vacation leave.Create job numbers and files in AS400 and internal dispatch systems.Maintain tracking sheets for job requests and service reports.Keep job logs and file paperwork with the Purchasing Agent.Maintain certified payroll report files for applicable jobs.Review work orders for accuracy before billing.Enter materials, truck charges, recommended repairs, and work summaries from work tickets.Research material costs, vendor invoices, and service ticket details as needed.Complete service work orders and prepare pre-invoices for review.Pull and enter Purchase Orders for technicians into AS400.Handle problem or complaint calls, or direct them to the Branch Manager.Advise the sales department of major client service calls when necessary.Research whether jobs qualify as warranty work, coordinating with Project Management or Accounting.Order filters for monthly maintenance as needed.Route completed timecards to HR/Payroll with correct work order numbers and rates.Assist new technicians with employment policies and procedures.Notify Human Resources immediately in case of technician injury or accident.Essential Skills
5+ years of administrative experience in the construction, commercial services, HVAC, utilities, or similar industry.Proficiency in MS Office applications.High School Diploma.Experience with AS400 and dispatch systems.Additional Skills & Qualifications
Experience with Excel and administrative support.Familiarity with AS400 is preferred.Work Environment
The position operates within a standalone building with approximately 25 employees. The immediate team comprises four individuals, creating a close-knit workspace. The role follows a business casual dress code and standard hours from 7am to 4pm with a 60-minute lunch break. The company culture values direct feedback and teamwork, where colleagues support each other when needed.

Pay and BenefitsThe pay range for this position is $20.00 - $22.00/hr.
