Description We are looking for a highly organized and proactive HVAC Dispatcher to join our team in Walnut, California. This is a Contract-to-permanent position, offering an excellent opportunity to grow within the service industry. The ideal candidate will excel at coordinating operations, managing multiple priorities, and ensuring seamless communication between departments, technicians, and customers. Responsibilities: • Conduct daily reviews of technical service reports and update documentation as necessary. • Act as a liaison between customer service teams and field operations to ensure smooth communication. • Manage and maintain the dispatch board, providing updates and adjustments as needed. • Oversee and coordinate the completion of paperwork and documentation, including service work orders, timecards, and vehicle maintenance reports. • Participate in on-call duties every other week to address urgent operational needs. • Build and maintain strong, positive relationships with customers to ensure satisfaction. • Work with third-party customer systems to manage orders and related tasks. • Create and update purchase orders, order necessary equipment, and track system updates. • Assist other departments with procedural tasks and inter-departmental communications. Requirements • Minimum of 2 years of experience in HVAC or plumbing dispatching or similar role. • Proven ability to manage multiple technicians and ensure timely job closures. • Strong communication and organizational skills to coordinate across departments and with external vendors. • Excellent problem-solving and critical-thinking skills to address challenges proactively. • Experience with systems such as ADP, CRM, IBM AS/400, and other management tools. • Familiarity with billing functions, customer relationship management, and answering inbound calls. • Ability to maintain professionalism while handling multiple tasks simultaneously. • Strong interpersonal skills to collaborate effectively across all levels of an organization.
