Direct Response Marketing Specialist

We are currently in search of a Direct Response Marketing Specialist to join our Direct Response Fundraising team.   The Direct Response Marketing Specialist works with colleagues across the organization and with external partners and agencies to ensure seamless campaign workflows, accurate data management, and timely delivery of all campaign efforts. The Direct Response Marketing Specialist plays an essential role in supporting the project coordination and execution of direct response fundraising campaigns, primarily direct mail fundraising (donor newsletters, appeals, acknowledgements and other efforts) but will also include exposure to phone, text, digital, Face-to-Face and other fundraising channels in our omni-channel strategic approach. This position will champion proactive and accurate planning, execution, organization, and communication, contributing to the overall success of direct marketing initiatives leading to revenue growth to fuel our mission. Exposure to marketing agencies and senior leaders across fundraising and marketing teams lends to the development of strategic sensibilities in a fast-paced, collegial and learning environment.

NOTE:  This position will work a hybrid schedule from our corporate office in Oklahoma City, OK and is not a 100% remote position.

Job Requirements:

Education

Bachelor’s degree in marketing, communications, business, or a related field preferred.  High school diploma or GED required.

Experience

3+ years of relevant experience in marketing, project coordination, or fundraising required.  Direct response or nonprofit experience preferred.

Intermediate proficiency with Microsoft Office Suite including Outlook, SharePoint, Teams, Word, Excel and PowerPoint required

Technical proficiency with data using Excel and/or similar databases strongly preferred.

Ability to learn and leverage new software tools to optimize efforts required.  Experience with project management tools like Workfront/Monday.com, creative tools like Adobe Acrobat/Canva, and AI tools like CoPilot preferred.

Ability to manage multiple tasks with competing deadlines professionally while maintaining a high attention to detail required

Strong written and verbal communication skills; ability to take effective meeting notes and follow up on actions.

Collaborative and proactive working style; customer service orientation and problem-solving mindset.

Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job may be considered.

Essential Functions

Process & Project Management:

Manage the production schedule for direct marketing campaigns, tracking due dates and milestones, and communicating with the team. Proactively identify and address potential challenges. Initiate and schedule meetings to advance projects through milestones (strategy, creative reviews, campaign reporting, collaboration calls, etc.); Prepare agendas, develop meeting notes and track follow-up on action items. Schedule and track application due dates and entries for national workplace giving programs like America’s Charities and CFC.

Creative Assets, Reviews and Quality Control:

Upload raw content and resources to SharePoint for agency access. Proofread creative elements, ensuring key aspects align with the overall strategy and are present in the final assets (pseudonyms, quotes, images, codes, static information). Assist in the review and organization of brand, messaging, and offer elements for direct mail campaigns, providing feedback where appropriate. Manage digital and physical scanline quality control (QC) process, ensuring schedules are maintained and discrepancies are addressed in collaboration with management and relevant partners. Distribute creative assets to internal stakeholders and maintain organized SharePoint files for campaign materials (creatives, invoices, strategy decks, cost reports, return files, etc.).

CRM & Data Management:

Learn to navigate and use the donor database (Blackbaud CRM platform) supporting campaign set-up, routine list pulls, data uploads, and donor lookups. Assist with uploading campaign data and segmentation files, ensuring accuracy and compliance with established protocols.

Invoicing & Cost Tracking:

Record and track campaign-related expenses in the invoice tracker, supporting the invoice approval process alongside management and the finance team. Assist in reconciling discrepancies as needed and ensure timely submission and processing of invoices from internal and external partners.

Communication & Collaboration:

Champion timely, effective and anticipatory communication with internal teams and external agencies, ensuring campaign needs and deadlines are clearly conveyed. Serve as the first line of communication for donor marketing-related escalations, engaging management or other team members as appropriate to ensure positive donor experience and seamless marketing operations.
