Introduction
We are seeking a dynamic Service Coordinator to join our growing Digital Inspections team. In this pivotal role, you will be responsible for providing comprehensive administrative support ensuring seamless coordination of our team. This role will be based at our Henderson facility and you will report into the Digital Inspections Manager.

You will join a growing team of Reliability Specialists based around Australia working within the larger Metso Services environment. We are a collaborative team that works with clockwork precision to deliver specialised inspection services nationwide. Our team also works closely with internal stakeholders ensuring open communication at all times.
What you’ll do:
Create and maintain a Master Service Schedule of works in progress and future projects, actively managing resource allocation, calendars and internal communications. Coordinate complex travel arrangements, logistics, and site inductions for personnel, ensuring all details are managed proactively and efficiently Develop Work Packs for jobs including timesheets, itineraries, Toolbox meeting discussion points, procedures, and schedules. Collaborate with the broader Metso Services team on scheduling and cross departmental projects. Manage and track equipment and consumables for transport to customer sites Coordinate and manage all documentation associated with site attendances, materials, reports and job closure. Collation and submission of monthly cost reports. Assist with job costing and estimating activities from time to time. Compile job costs, review against estimates and prepare invoicing for customers. Issue purchase orders and match invoices for internal and sub-contract services. Preparing invoices for completed jobs and monthly invoicing as required. Undertake general administration duties and special projects as required.
Who you are:
Minimum 4 years’ experience in Office Administration, with demonstrated experience supporting senior executives or in an executive assistant capacity. Intermediate to advanced MS Office skills (Word & Excel) and hands on experience with accounting packages and in-house systems; SAP experience highly regarded. Exceptional organisational and multitasking abilities with a keen eye for detail. Proven ability to coordinate across multiple teams and stakeholders, fostering collaborative working relationships. Flexible, proactive, and comfortable working in a fast-paced, all-hands-on-deck environment.
