Purpose:
Manage day-to-day administrative operations on behalf of Basketball BU.
Department Responsibilities:
• Communicate effectively and professionally via telephone, in person, e-mail to assist the goals of the overall Basketball Department. • Establish and perform practices that accurately maintain records and efficiently process information (i.e. maintain and complete visa letters for Basketball team when traveling abroad) Coordinate meetings, appointments, off-sites and events for the Department. Arrange accommodation and assist visitors for the Department. Maintain calendar of events including all travel scheduling. Provide input to help identify and improve systems and procedures within the department to ensure day to day operations run smoothly and efficiently. Maintain and replenish inventory of necessary supplies and equipment for department needs. Assist with accounting responsibilities to include: code invoices for payment, prepare expense reports in accordance with financial guidelines and reflective of budgetary restraints, process expense reports for payment, process sample invoices, and coordinate with Controlling to ensure all payments are processed accurately. Support personnel in the department with the day to day issues such as conference room bookings, working with IT to set up A/V, coordinating with x-functional partners to set up and handle meetings. Arrange catering for team meetings across various departments. Contribute to the financial management of the Department as needed, tracking team travel, buget usage, etc. Support departmental timelines/deadlines by assisting in all activities as needed. Partner with Workplaces to follow up on department needs across team. Prepare all items for newcomers to the department in order to ensure their first arrival on Day 1 at adidas is smooth. Be the point of contact to add new hires into the department distribution lists, support with T&E/Concur training, how to order equipment and support with new hire travel. Participate in weekly meetings upon team request, take notes as assigned and summarize any follow up points as needed. Support across various departments, including projects, and systems support (M3 system)
GM Support:
Book travel, manage schedules/itineraries. Calendar management Effectively process expenses for reimbursement and in a timely manner per corporate policy

Knowledge Skills and Abilities:
Ability to effectively and professionally communicate via phone, e-mail and face to face. Previous knowledge or ability to learn all software and internal systems necessary for the role and perform at proficient level Strong interpersonal skills with ability to work well in a team environment. Strong organizational skills with the ability to follow through on all details required. Ability to multi-task within a fast paced, changing environment, organized and strong time management skills. Ability to prepare routine reports, correspondence and Power Point presentations. Ability to speak effectively before groups of both internal and external audiences. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Requisite Education and Experience / Minimum Qualifications:
Bachelor’s degree (BA) from a four-year college or university preferred; or two to four years related experience and/or training; or the equivalent combination of education and experience. The anticipated low and high end of the base pay range for this position is $71,000 - $89,500. Actual salary will be based on various factors, such as a candidate’s experience, qualifications, skills and competencies, proficiency for the role. At adidas we offer a Hybrid work policy which requires attendance in the office Monday through Thursday, with the flexibility to work remotely on Friday each week. For work requiring a high degree of collaboration or an in-person presentation, in-office attendance is required even on Friday. The working location of this position is Los Angeles, California. Though our teammates hail from all corners of the world, our working language is English.
