The Data Protection Coordinator is part of the Data Protection team which sits in the Legal & Compliance function. You will be responsible for leading the operational delivery of Asda’s data subject rights programme, supported by a Data Protection Manager. You will directly support a Data Subject Rights Assistant in their role on a day-to-day basis and will coordinate the operational aspects of the programme. This will include reviewing contacts from individuals who want to exercise their data subject rights, advising on the responses to subject access requests and handling data subject rights related queries and concerns. You’ll lead the response on escalated contacts, with support from a Data Protection Manager where necessary.

Your key responsibilities will include:

The day-to-day operational management of Asda’s data subject rights programme and acting as the primary point of escalation for a Data Subject Rights Assistant.

Triaging contacts received from data subjects, coordinating responses and ensuring work is assigned to the correct team member.

Recording requests and contacts received in our compliance management software, OneTrust. Each day, you’ll review the work queue and open tasks in OneTrust. You’ll track the progress of open items and triage and coordinate responses to ensure completion within the required timeframe.

Overseeing the daily activities of a Data Subject Rights Assistant, including reviewing their workload, assisting with the prioritisation of requests and providing advice and guidance on responses to more complex contacts.

Reviewing and completing complex subject access requests.

Reviewing and responding to complex or escalated questions, queries or concerns received from data subjects.

Supporting a Data Protection Manager with correspondence from the ICO and data subject rights related incidents, coordinating responses and assisting with the creation of the appropriate records under the guidance of a Data Protection Manager.

Assisting with the management and maintenance of data subject rights related records, processes and programme documentation.

Providing data subject rights related advice and guidance to the wider business and ensuring, where appropriate, queries are directed/escalated to the relevant member of the Data Protection team.

Assisting with general team administration and supporting the coordination of the Data Protection team, which may include supporting a Data Protection Manager and Data Protection team senior management with projects and other activities relating to our wider data protection strategy.

We’re looking for the following skills and experience:

A foundational knowledge of data protection and an understanding of the basic principles of data protection compliance – ideally, you’ll have some experience in handling data subject rights requests and reviewing and completing subject access requests.

A strong appetite to continue to learn about data protection compliance.

Customer service experience is essential. You’ll be engaging directly with customers, colleagues and other third parties to help fulfil their requests.

Line management experience is preferred, but not essential.

Attention to detail and the ability to work well as a team player.

An ability to thrive in a fast-moving, dynamic business where working at pace is required.

A willingness to offer ideas and solutions to the ever-changing needs of the team and business.

Strong organisational skills and the ability to coordinate other team members.

Being digitally savvy and comfortable using Microsoft programs such as Outlook, Word and PowerPoint and being comfortable learning how to use new software.

Knowledge of how to use OneTrust is preferable, but not essential.

An ability to manage a large and varied workload with a proven track record of meeting deadlines.

A keen problem solver with the ability to identify and suggest operational improvements.

Great interpersonal skills and willingness to reach out to colleagues and key stakeholders across the business.
