Customer Service Representative
The Opportunity:Under moderate supervision, conducts general business support, including handling inquiries from external or internal customers, coordinating resolution of customer issues with internal departments, explaining products/services and billing procedures to customers, assisting customers in completing forms and gathering/recording information needed for proper transactions.


The role ensures excellent customer service by managing orders, correspondence, and logistics coordination. Responsibilities include handling customer inquiries and complaints, communicating with suppliers to expedite deliveries, and assisting with product, billing, and documentation processes. The position requires effective collaboration with internal teams and clear communication with both internal and external customers—all under moderate supervision.


MAJOR DUTIES, RESPONSIBILITIES AND DELIVERABLES

Respond to inbound sales and support inquiries while monitoring daily customer service operations.Process and expedite orders via CRM and SAP systems, ensuring accuracy and timeliness.Coordinate with suppliers to fulfill orders and resolve issues related to deliveries and shortages.Handle customer complaints professionally and escalate complex issues as needed.Manage back orders, returns, and defective product claims; provide credits and documentation.Generate Certificates of Analysis and Compliance for regulated goods.Support sales representatives with product information.Maintain thorough records of transactions, communications, and complaint resolutions.Support billing processes, including verifying invoices and resolving discrepancies.Assist with customs documentation, shipment entries, and archiving of sales materials.Collaborate on developing Standard Operating Procedures (SOPs) focused on speed and accuracy.Deliver exceptional service to internal and external customers at every touchpoint.

KNOWLEDGE SKILLS AND ABILITIES (Those necessary to perform the job competently)

Fluent in English (verbal and written) at a B2 level or higher.
Strong interpersonal and communication skills with the ability to build productive relationships across teams and clients.Proficient in analytical thinking and proactive problem-solving with a customer-centric approach.Demonstrates excellent organizational abilities and active listening skills to ensure effective information exchange.Highly adaptable and capable of performing efficiently in dynamic and fast-paced environments.Able to work independently while also contributing effectively in collaborative team settings.Maintains a professional and composed attitude in challenging situations; takes initiative and is driven by results.Hands-on experience with SAP, CRM systems, and Microsoft Office Suite.
