Customer Service Representative
Job Description
The customer service representative aligns with sales staff in the delivery of premium sales, lead generation, customer service, and follow-through. This role focuses on customer intimacy and is responsible for all activities in assigned accounts in support of the organization's overall goals, objectives, mission, and vision.
Responsibilities
+ Order Processing & Management: Receive, verify, and enter customer orders into ERP/CRM systems, including changes, cancellations, and returns.
+ Coordinate acknowledgments, order confirmations, and shipping documents such as ASNs and BOLs.
+ Customer Communication & Support: Maintain frequent contact via phone, email, EDI/fax to provide status updates on pricing, delivery dates, and delays.
+ Issue Resolution & Problem Solving: Handle and resolve inquiries, complaints, invoicing or shipping discrepancies, and material issues—often collaborating with various team members.
+ Proactively notify customers of service failures or production issues that impact delivery timelines.
+ Account & Data Management: Maintain accurate customer profiles, price lists, order history, and data integrity, requesting internal approvals when changes are needed.
+ Coordination with Production & Logistics: Regularly review production status reports and inventory schedules, including JIT/Kanban systems; support scheduling to ensure 95%+ on-time delivery.
+ Collaborate with Purchasing and Planning teams, particularly when supply orders or floor safety requirements are needed.
+ Administrative & Billing Support: Assist with invoicing, billing discrepancies, and credit/return authorizations (RMAs/RMOs).
+ Maintain accurate records of daily sales activity, communications logs, and performance metrics.
+ All other duties as assigned.
Essential Skills
+ Customer service and support experience.
+ Data entry proficiency.
+ Proficient in Microsoft Office Suite.
+ Strong communication and organizational skills.
+ Proven team player and diligent customer advocate.
+ Strong follow-up and time management skills.
+ Ability to effectively multi-task.
Additional Skills & Qualifications
+ CRM experience preferred.
+ Experience with Excel databases.
Work Environment
This position is based in an office environment and involves reporting to the customer service manager.
Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr.
