Job Description
As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our facility by handling customer orders, maintaining effective communication, and supporting various administrative tasks. This position is vital to aligning our business strategy with customer needs and manufacturing processes.
Responsibilities
Receive, process, and monitor the progress of customer orders to align with the overall business strategy.Expedite order changes and negotiate with customers to ensure satisfaction.Facilitate the flow of information regarding specifications, orders, and customer requirements to manufacturing.Build specifications, enter orders, and prepare cost estimates for both repeat and new items.Maintain the integrity of the backlog system and keep customers informed of order status.Ensure the accuracy of files by maintaining up-to-date specifications and price changes.Maintain credibility of the price quote system.Review support orders for completeness and accuracy, and expedite new information.Handle customer complaints and solicit feedback through customer satisfaction processes.Enhance customer relationships by maintaining specific call patterns and visiting customers.Regularly communicate with sales personnel regarding activities and inventory management.Essential Skills
2 to 4 years of customer service experience.Understanding of manufacturing capabilities, scheduling requirements, product knowledge, and truck utilization.Strong oral and written communication skills.Proficiency in handling telephone conversations and effectively listening and communicating.Experience using spreadsheets, database, and word processing software such as Microsoft Word, Access, Excel, and PowerPoint.Basic math skills.Excellent time management and organizational skills.Ability to remain flexible, adapt to situations, and provide leadership or follow instructions.Additional Skills & Qualifications
Customer-focused, self-motivated, innovative, and proactive.Open-minded and able to work through change.Administrative support skills including filing and data entry.Knowledge of Microsoft Office applications including Outlook.Experience with accounting tasks such as accounts receivable and payable.Ability to create Excel pivot tables and perform Excel data entry.Job Type & Location
This is a Contract position based out of Sanger, CA.
Pay and BenefitsThe pay range for this position is $20.00 - $20.00/hr.
