Crew Scheduling Specialist

Airswift is looking for a Crew Scheduling Specialist to work on a temporary contract (3 months) in Rio de Janeiro, with a leading company in the oil & gas sector.

The Crew Scheduling Specialist applies their conceptual knowledge of Crew Scheduling. With a moderate level of guidance and direction from colleagues and leadership, they are responsible for solving a range of straightforward Crew Scheduling problems. They will be responsible for analyzing possible solutions using standard procedures and building knowledge of the company, processes, and customers. The Crew Scheduling Specialist understands key business drivers and applies this knowledge to solve problems in straightforward situations by analyzing possible solutions using technical experience, judgment, and precedents.

Job Responsibility:
• Coordinate offshore crew recruitment process, including interviews, reference checking, medicals, PPE, payroll, and onboarding documentation, applying HR policies and procedures.
• COVID Management planning and crew coordination to ensure compliance.
• Develop, maintain, and manage offshore personnel logistics roster.
• Book helicopter, travel, accommodation, transfer, and associated travel logistics for Offshore personnel.
• Coordinate International vessel crew logistics.
• Plan and implement travel logistics of crew mobilizing to / from the site.
• Liaise with the Offshore Administrators and Crewing and Logistics Team to ensure that all crew movements are accurately recorded.
• Coordinate with Sub-contractors to arrange approval of sub-contract personnel, required Project training, rosters, travel, and logistics.
• Update and maintain Offshore HR files, Visa database, and Tax spreadsheets information; keep registers current, including employee lists.
• Coordinate the issuance of PPE.
• Maintain MAPS personnel logistics database.
• Apply for Visas for International Offshore personnel.
• Coordinate personnel Tax briefing and Tax assistance for offshore personnel.
• Coordinate Cyclone evacuation logistics.
• Interpret and apply the Company HR policies, procedures, and initiatives.
• Report and collate data relating to the personnel movements of contractors / subcontractors.
• Ability to interpret offshore craft certification.
• Coordinate personnel training and familiarization logistics plans for pre-project training.
• Liaise with Training & HSES Departments to ensure logistics are coordinated for necessary Project training & Competency before personnel mobilization offshore.
• Assist in coordinating attendees at project inductions.
• Support general administration tasks. • Prepare timesheets for offshore personnel temporarily assigned to onshore job in remote areas.

Qualifications:
• Diploma or equivalent experience.
• Minimum three (3) years of HR / Crewing & Logistics Experience.
• Oil & Gas Offshore Construction experience essential.
• Fluent English and Portuguese communication skills
• Exposure to online crew management systems.
