**Job Summary and Qualifications**
General Statement of Duties: The Admissions Coordinator serves as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure efficient clinic operations. Responsibilities include greeting and assisting patients, scheduling appointments, verifying insurance and demographic information, collecting co-pays, managing phone calls, and coordinating communication between patients, providers, and clinical staff. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while delivering a positive patient experience.
**Essential Job Functions:**
1. Greet patients and visitors promptly and courteously, providing assistance as needed. Answer and route incoming phone calls; respond to inquiries in a professional manner.
2. Schedule and confirm patient appointments using the clinic’s electronic health record (EHR) system.
3. Verify patient demographics, insurance information, and eligibility prior to appointments. Collect co-pays and process payments accurately following clinic protocols.
4. Maintain patient confidentiality and comply with HIPAA regulations at all times.
5. Coordinate communication between patients, providers, and clinical staff to ensure smooth workflow.
6. Prepare and manage patient charts and documentation for daily clinic operations.
7. Monitor and maintain front desk supplies and ensure a clean, organized reception area.
8. Assist with administrative tasks such as scanning, faxing, and filing as needed.
9. Cultivates positive relationships with and maintain an environment of collaboration and cooperation at all levels of the organization, including the Medical and clinical staff, referral sources and community partners.
**What qualifications you will need:**
+ Education: High School Diploma or equivalent required. Associate degree in healthcare administration or related field preferred.
+ 1. Experience: Minimum 1 year of experience in a medical office or healthcare setting, preferably in front desk or patient access roles.
+ 2. Employee completes initial and ongoing training and competencies as defined by service line, facility and department/unit which are specific to the needs of the patient population served (if applicable)
+ Minimum License, Certificates, or Registrations Required: 1. Required: None 2. Preferred: None
