Job Description

This entry-level Coordinator role supports receiving and distribution operations in a corporate environment, ensuring records and packages are accurately received, organized, and shipped on time each afternoon. The position offers a flexible start time with a fixed end time to meet scheduled shipping deadlines and provides an opportunity to learn, grow, and build relationships within a small, experienced team. The role is ideal for someone who is detail-oriented, reliable, and comfortable managing multiple administrative and operational tasks throughout the day.

ResponsibilitiesPerform day-to-day intake and receiving operations for records and packages.Organize and maintain a comprehensive filing system for partner records, including coordination of archival files to offsite storage.Use automated systems and personal computers to access, update, and track file inventory information.Respond to requests for partner file information by making photocopies, sending facsimiles, scanning documents, and sharing electronic files as needed.Conduct data entry in Excel and other systems to support record-keeping and administrative processes.Support general administrative tasks such as filing, sorting, calendaring, and basic customer service.Assist with tasks such as travel arrangements, invoice coding, and file representation as needed.Ensure packages are prepared and shipped by the scheduled time each afternoon.Maintain regular attendance and punctuality to support consistent operational flow.Maintain a strong attention to detail to ensure accuracy in records, documentation, and package handling.Manage multiple tasks and priorities throughout the day in a fast-paced environment.Adapt to uncertainty and changing priorities while maintaining a high level of performance.Collaborate closely with a small internal team and occasionally interact with external partners.Model and act in accordance with the organization’s guiding principles in all daily activities.Safely lift items up to 20 pounds and perform physical activities such as standing, sitting, kneeling, and climbing a step ladder as needed for records and package handling.Essential SkillsUp to 1 year of experience in administrative support, records, or a similar role preferred but not required (entry-level friendly).Experience with administrative support tasks, including filing, sorting, and data entry.Customer service skills with the ability to respond professionally to internal and external requests.Proficiency with Microsoft Office, including Outlook, Excel, and Teams.Ability to perform accurate Excel data entry and basic spreadsheet tasks.Strong attention to detail and organizational skills for managing records and files.Ability to manage multiple tasks and priorities throughout the day.Reliability in maintaining regular attendance and punctuality.Ability to lift up to 20 pounds safely.Ability to stand, sit, kneel, and climb a step ladder as part of daily duties.Comfort working in an entry-level, trainable role with a willingness to learn.Additional Skills & QualificationsExperience in records management or records handling is a plus.Experience with travel arrangements and invoice coding is beneficial.Familiarity with corporate office environments and team-based work settings is helpful.No specific degree or certifications required, making this a strong opportunity for candidates seeking a corporate entry point.Ability to work independently while also contributing effectively to a collaborative team.Interest in building long-term relationships within a small, high-tenure team.Openness to potential extension or conversion of the role, depending on business needs and budget.Work Environment

The Coordinator works full-time, approximately 40 hours per week, with a flexible start time and a fixed end time to meet afternoon shipping deadlines. The role is based in a corporate office environment within a small team of fewer than ten people, many of whom have long tenure and strong institutional knowledge. The team operates in a highly collaborative and interactive manner, with most daily interactions occurring within the immediate group and occasional contact with external partners. Work involves regular use of Microsoft Office tools, including Outlook, Excel, and Teams, as well as automated systems for file inventory and records management. The position includes a mix of desk-based computer work and physical tasks such as lifting boxes up to 20 pounds, standing, sitting, kneeling, and climbing a step ladder to access records or packages. The environment emphasizes reliability, attention to detail, and the ability to work independently while aligning with the organization’s guiding principles. The role provides a valuable foot in the door to a corporate setting, opportunities to learn and be trained, and the chance to build relationships and gain insight into the company culture, with the possibility of extension or conversion depending on business needs.

Job Type & Location

This is a Contract position based out of Seattle, WA.

Pay and Benefits

The pay range for this position is $23.00 - $24.00/hr.
