Coordinator, Fleet Maintenance

Job Summary

As the Fleet Maintenance Coordinator, you’ll be a key part of our team. You’ll maintain the fleet maintenance schedule, warranty coverage and parts receiving and inventory. In addition, you’ll bring your leadership and communication skills to working with our team of mechanics, ensuring we meet all customer requirements.

Experience Required: 0-6 months Administrative experience; Microsoft Office Suite.Experience Desired: Experience with fleet maintenance system; Any type of warranty administrator experience.Education Desired: High school diploma or equivalentTravel Required: None

Job Responsibilities

Update and maintain Ron Turley Associates (RTA) database or other Fleet Maintenance program in order to track all repairs, inspections, fuel, and department costs to assist management in staying within budget.Prepare and maintain work orders to ensure proper history of equipment to ensure safety and compliance.Maintain tracking for all outside work performed on Company equipment.Act as warranty administrator by preparing, submitting and shipping parts and recording and entering payments into equipment files for all warranty claims.Monitor original equipment manufacturers' website for active campaigns and recalls.Maintain and post all service bulletins and recalls in order to ensure safety for our team members and that all equipment is updated with necessary changes.Notify International Freight Trade Alliance for changes to stickers for equipment VIN numbers.Maintain and update these changes on a continuous basis.Document changes in the RTA database or other Fleet Maintenance program and report to all RSCs and IFTA.Order, record and maintain all permits, licenses, registrations, titles, state-issued stickers and manufacturers State of Origin documentation for the truck fleet.Coordinate all trailer rental needs throughout the company.Submit insurance and accident damages to claims department and update and maintain DAWG reports for insurance and accident report follow-up.Assist in communicating accident costs to claims department and enter proper documentation into the TMW database.Monitor purchase orders and process invoices for accounts payable in order to ensure creditors are issued accurate payments in a timely manner with no issues.Coordinate and ensure all roadside inspection forms are handled promptly and accurately.Receive all DOT inspections on equipment performed on the road. Fax repair reports to the state and generate work orders in the RTA database or other Fleet Maintenance program.Determine service used for equipment breakdowns by completing a road failure report and decide if in-house or outside vendors are to be used.Receive calls in order to obtain information and communicate with mechanics, dispatch, vendors, and other appropriate departments the information needed to perform repairs in a timely manner.Review payroll for Fleet Maintenance Team Members by verifying sick, personal and vacation days in order to ensure attendance information is recorded accurately, including monitoring and maintaining attendance records for Fleet Maintenance Mechanics.Update and post any changes which would affect shift coverage.
