**Job Summary and Qualifications**
**JOB SUMMARY (Primary purpose of the position.)**
**The Cardiovascular Services Coordinator is responsible for patient scheduling, coordinates information flow within assigned areas, oversees clerical operations in Cardiovascular Services, acts as Records and Retention Coordinator and serves as a resource to staff. The Coordinator is also the point person for processing of health information between the referring office and health information management (HIM). The coordinator uses open, professional communication (verbal, non-verbal, and written) to directly interact with physicians, patients, guests and other health team members. The Coordinator demonstrates organizational and time management skills, ability to work with and without supervision, provides quality work, meets productivity expectations, accepts change, prioritizes and is capable of multitasking. The individual assists the Director /Manager/Supervisors in ensuring day-to-day operations of Cardiovascular Services and meets required deadlines. This position works closely with other healthcare team members to facilitate exceptional patient care, while also promoting optimal unit operations. The Cardiovascular Services Coordinator adheres to the customer service standards while maintaining a clean, efficient, and safe work environment.**
**GENERAL RESPONSIBILITIES (The essential responsibilities and accountabilities of this position including interactions with other departments and outside vendors, if applicable, in PRIORITY order.)**
1. **Essential functions (included but not limited to):**
+ **Maintains liaison with department directors/managers/supervisors and responds to their general questions assisting where possible. Oversees the clerical operation and the day- to day administration of CV Services to ensure smooth operation. Maintains established policies and procedures, objectives, and safety standards.**
+ **Responsible for scheduling Day Patient, EP and CL procedures in collaboration with physician’s offices and ancillary depts.**
+ **Utilizes Leading Reach, Meditech, and HPF to coordinate medical records and schedule requested procedures in a timely manner.**
+ **Under the direction of the CV Services Director and Manager, coordinates and gathers essential data and prepares Program Quality reports on a monthly and/or quarterly basis for the CV Services Department.**
+ **Coordinates filing system as necessary.**
+ **Assists with maintenance and updates of department specific policies and procedures.**
+ **Participates in hospital or departmental performance improvement activities.**
+ **Provides support to other departments within the CV Services line.**
+ **Coordinates monthly/quarterly CV Services meetings.**
+ **Resource back up for departmental stats entry.**
+ **Resource back up for departmental charges and profile completion.**
+ **Completes Order Entry and purchases as needed.**
1. **Coordinates information flow within assigned areas:**
+ **Oversees clerical operations in the Cardiovascular Services department and serves as a resource for staff assigned to this location.**
+ **Organizes and maintains appropriate filing, forms control, supply requisitions, and mail delivery.**
+ **Utilizes open, professional communication (verbal, non-verbal, and written) to directly interact with physicians, patients, guests and other health team members.**
+ **Make decisions of moderate difficulty that reflect both knowledge and good judgment.**
+ **Handle confidential information regarding patient activities.**
+ **Works with customers when necessary to create an exceptional experience.**
+ **Flexes schedule in order to meet the needs of the department.**
+ **Proficiency in using Microsoft Word, Microsoft Excel, PowerPoint, and Quick Books.**
+ **Demonstrates effective prioritization of tasks.**
+ **Must be able to answer multiple phone lines professionally and expediently.**
+ **Collects and assimilates statistical data on a daily, weekly, and monthly basis when requested.**
+ **Updates department communication boards monthly.**
+ **Ensures appropriate rooms are scheduled for department services, classes and support group meetings and ensures proper set up.**
+ **Trains new employees on CV Services administrative processes.**
1. **Additional as needed duties:**
+ **Interview patients to obtain all necessary account information.**
+ **Works with CVO (Central Verification Office) staff performing insurance verification for all account types, enters required documentation on verification screen and has eligibility and benefit determined within two working days prior to patient admission and communicates to the patient.**
+ **Obtain precertification/authorization**
+ **Schedules patients for initial admission into program.**
+ **Calls and confirms appointments.**
+ **Ensure charts are completed and accurate.**
+ **Ensure that all necessary signatures are obtained for treatments.**
+ **Answer any questions and explains policies clearly.**
+ **Process patient charts according to paperwork flow needs and established productivity standards.**
