Contracts Administrator
Position Overview

An established construction-focused organization is seeking a detail-oriented Contract Administrator to support contract and project management operations. This role is responsible for overseeing the full lifecycle of construction projects, including bid coordination, contract administration, document management, and financial tracking.

This position is ideal for someone who thrives in a fast-paced, team-oriented environment and excels at managing multiple priorities with precision.

Key Responsibilities

Bidding & Pre-Construction

Coordinate and manage the bidding process, including researching opportunities, obtaining project plans/specifications, and supporting bid package preparationCollaborate with estimators and internal stakeholders to ensure complete and accurate bid submissionsTrack bid activity, maintain records, and communicate bid results

Contract Administration

Draft, review, and manage contracts and subcontracts, ensuring accuracy and compliance with requirementsPrepare and maintain construction documentation such as contracts, purchase orders, and change ordersMaintain organized and compliant records throughout the project lifecycle

Project & Financial Support

Review daily reports, material usage, and job progress for accuracyProcess invoicing, verify quantities, and support subcontractor payment validationAssist with project financial tracking, including profit and loss reportingContribute to weekly and monthly financial reporting

Documentation & Systems Management

Maintain logs, spreadsheets, and tracking systems for project-related dataSet up and manage project data within internal systemsPrepare and maintain documentation required for regulatory complianceCoordinate requests for insurance certificates and bonding documentation

Collaboration & Support

Work cross-functionally with project teams, field personnel, estimators, and external stakeholdersEnsure adherence to contractual terms and conditionsProvide general administrative support for project documentation and reportingQualifications & SkillsStrong attention to detail with the ability to multitask effectivelyBasic understanding of accounting and financial processesProficiency in Microsoft Office Suite (especially Excel, Word, and PowerPoint)Experience with construction or project management software is preferredStrong communication and interpersonal skillsAnalytical thinking and problem-solving abilityHighly organized, self-motivated, and able to work independentlyComfortable working in a fast-paced, deadline-driven environmentWhat We’re Looking ForA dependable team player with strong time management skillsA professional communicator who can work effectively with internal teams and external partnersSomeone who takes pride in accuracy, organization, and accountability

Job Type & Location

This is a Contract position based out of Lunenburg, MA.

Pay and Benefits

The pay range for this position is $30.00 - $35.00/hr.
