Kforce has a client that is seeking a Contracts Administrator in Washington, DC.
Summary:
The Contracts Administrator is responsible for organizing, tracking, and maintaining the organization's contracts across all departments. This role will compile a comprehensive contracts database, ensure documentation is accurate and up to date, and provide staff with guidance on understanding contract terms. The Contracts Administrator will work closely with Finance, Operations, and department leads to support compliance, cost tracking, and contract renewals.
Key Responsibilities:
Contract Inventory & Database Management:
* Review organization-wide files, including the Finance drive and PandaDoc (document signing/storage system), to compile a comprehensive list of contracts
* Create and maintain a centralized contract tracking spreadsheet/database including contract name, department, contract value, renewal dates, terms, and associated costs
* Ensure all contracts are properly archived, accessible, and accurately categorized
Contract Review & Understanding:
* Review contracts to identify key terms, deliverables, costs, and renewal/termination provisions
* Provide staff with a clear understanding of contract requirements and obligations
* Flag upcoming contract renewals, deadlines, and compliance issues to leadership
Collaboration & Communication:
* Work with Finance, Operations, and department managers to confirm contract details and ensure consistency in reporting
* Act as the point of contact for questions related to existing contracts
* Support leadership in negotiations or renewals by providing organized contract data
Process Improvement & Compliance:
* Develop standard procedures for contract storage, review, and reporting
* Recommend improvements to contract management workflows, including automation where possible
* Ensure adherence to organizational policies and compliance requirements
