Contracting Coordinator

Job Summary and Responsibilities

As the Contracting Coordinator, you will provide crucial administrative support to the Manager, Network Operations and Contracting, and potentially other staff. Key responsibilities include facilitating communication across departments, maintaining organizational standards, and managing logistical aspects like scheduling, travel arrangements, and event coordination.

This role involves attending committee meetings, preparing agendas, and transcribing minutes. The Coordinator will also draft various documents such as presentations and business plans, respond to correspondence, process expense reimbursements, and manage office supplies. Strong computer skills (60+ WPM typing, Google/Microsoft Suite proficiency) are essential. The successful candidate will demonstrate excellent problem-solving, a positive attitude, and professional communication in all interactions.

Ensure effective communication with the departmental leaders, as well as across departments and entities to ensure information is shared for effective operations. Serve as an effective resource/liaison for managers, clinicians, the public and other employees.Attend assigned committee meetings and organize, prepare and distribute the meeting agendas, transcribe and distribute minutes and attachments.Maintain the daily schedules of the department leaders, including making travel arrangements, scheduling meetings, conferences and performing other activities in administrative support of the team.Respond in a timely manner to all correspondence, including telephone calls, e-mail messages and written correspondence and escalate as appropriate.From information provided by the department leaders, as well as feedback solicited from other subject matter experts, draft presentations, business plans, spreadsheets, and other documents specific to the program(s).

***This position is remote within California, with a preference for the candidate to reside in Central or Southern CA.


Job Requirements

Minimum Qualifications:


- 2-5 years secretarial and administrative support of senior level executives.
- High school diploma or GED.
- Experience with data manipulation and analysis.

Preferred Qualifications:


- Bachelors degree in Business, Healthcare Administration, or related field preferred

- Previous experience in healthcare strongly preferred.

- Previous experience with contracts a plus.
- High degree of professionalism and competent judgment in supporting the activities of the Officers of the PHSO preferred.
- Possess a high degree of propriety in dealing with confidential situations, documents and information on a daily basis preferred.
