Job Description
The Contract Service Coordinator is an integral part of the Service Department. This position supports several divisions within the Service Department, performing a variety of activities through clerical and administrative support of incoming and outgoing contract correspondence. This role oversees the implementation of all Planned Maintenance Agreements and assists in the processing of contracts during and following the bid process. The position requires someone who is self-directed, able to multitask, and detail-oriented.
Responsibilities
Review and process contract turnover documentation for Planned Maintenance Agreements provided by Account Executives and Department Leaders.Create Planned Maintenance Agreements and billing schedules within the COINS software database.Set up and manage Planned Maintenance contract job files.Maintain and update asset data for Planned Maintenance Agreements.Review Maintenance Agreements quarterly/annually to confirm performance, budget constraints, and ensure compliance with contractual obligations.Generate and distribute Planned Maintenance renewal letters.Work with the Warehouse Manager to organize and procure monthly filter orders.Collaborate closely with Service Coordinators and Field Supervisors to ensure the Field Team has all required documentation.Manage Planned Maintenance contracts in customer portals.Conduct weekly Market Recovery tracking.Assist Account Executives, Department Managers, and Project Managers with bid preparation, submittal activity, project file organization, and pre-qualification requirements.Initiate and coordinate Prevailing Wage/Certified Payroll requirements for projects as needed.Secure bid bonds, letter of surety, and insurance requirements during the bidding process.Assist with PO entry, reconciliation, and coordination within the department as needed.Perform other related duties as assigned or needed.Essential Skills
Experience in contracts and billing.Proficiency in administrative support and general administrative skills.Strong skills in MS Office Suite.Competence in data entry and customer service.Additional Skills & Qualifications
Experience with COINS software is advantageous.Work Environment
The work environment consists of a standard cubicle setting, fully in-office. The working hours are from 7:00am to 3:30pm.
The office atmosphere is pleasant, with a team of good people.

Pay and BenefitsThe pay range for this position is $28.84 - $36.05/hr.
