Position Summary:
Florida Atlantic University is seeking a Contract and Subaward Administrator - Davie, FL.
The Contract and Subaward Administrator plays a critical role in supporting the Office of Sponsored Programs (OSP). Working closely with the Associate Vice President, Executive Director, Associate Directors, and OSP staff, this position is responsible for drafting, negotiating, and administering a wide range of sponsored research agreements and outgoing subawards. The administrator ensures compliance with federal, state, foundation, and institutional requirements, while facilitating effective communication with faculty, staff, sponsors, and collaborators.
Responsibilities:
Review, redline, and negotiate externally funded research agreements and terms from federal, state, foundation, and local government agencies.
Coordinate with internal offices (General Counsel, Export Control, IT, Research Integrity, Technology Development, etc.) to resolve issues related to intellectual property, indemnity, publications, data use, confidentiality, and compliance with human/animal subject protections.
Secure legal approvals for contractual documents and facilitate award execution consistent with delegated signature authority.
Draft agreements, amendments, subawards, and related documents on behalf of Florida Atlantic University, FAU Foundation, FAU Research Corporation, and/or collaborating sponsors. Agreement types may include grants, contracts, purchase orders, master research agreements, NDAs, MOUs, consulting agreements, teaming agreements, and internal transfer agreements.
Oversee the outgoing subaward process, including application review, risk assessment, audit review, restricted party screening, drafting/execution, and ensuring IRB, IACUC, IBC, etc. approval (as applicable).
Maintain a portfolio of agreements and serve as liaison to colleges, departments, centers, sponsors, collaborators, and faculty.
Serve as a resource to OSP staff and stakeholders on complex contracting issues and interpretation of contractual terms.
Assess and improve internal contract/subaward processes in line with university policies and compliance standards.
Manage reporting requirements, including FFATA reporting and Small Business Subcontracting Plan submissions through Sam.gov.
Collaborate with the Novelution development team to enhance subaward functionality, conduct testing, and recommend improvements.
Maintain accurate logs, documentation, and electronic files related to contracts and outgoing subawards.
Stay current on evolving federal regulations, sponsor requirements, and institutional policies.
Develop and deliver workshops/trainings for faculty, staff, and research administrators on contract and subaward topics.
Attend regional meetings and trainings related to research administration.
Perform other job-related responsibilities as assigned.

Minimum Qualifications:
Master's degree from an accredited institution in an appropriate area of specialization; or bachelor's degree from an accredited institution in an appropriate area of specialization and two (2) years of appropriate experience required.Preferred Qualifications/Skills:
Bachelor’s degree in business administration, legal studies, public administration, research administration, or a related field required; Master’s degree preferred.
Minimum of 3–5 years of experience in contract negotiation, research administration, or grants management.
Comprehensive understanding of federal, state, and sponsor regulations, including Uniform Guidance.
Strong contract drafting, negotiation, and compliance skills.
Familiarity with research compliance areas such as intellectual property, export control, human/animal subjects, and data use.
Proficiency with contract management and financial systems (e.g., Workday, Novelution).
Excellent organizational, analytical, and problem-solving abilities.
Strong written and verbal communication skills.
Ability to manage multiple projects under tight deadlines while maintaining attention to detail.
Salary:
$65,000 - $72,000 per year.AMP
