Contract Administrator

ADP is hiring a Contract Administrator  to support our document workflow and signature process across global teams.

In this role, you will …

Be at the center of a critical process that supports global clients, internal teams, and our legal operations. You’ll be responsible for reviewing incoming requests, checking documents for completeness and accuracy, coordinating the signature process, and ensuring everything is tracked and organized. You’ll reduce delays, cut down on miscommunication, and keep our document workflows running smoothly across time zones and departments.

How does your day look like?

You’ll start your day in the Group Mailbox — scanning through incoming requests to determine what’s ready to be uploaded for signature and what needs more work. Some documents will be straightforward, others will require back-and-forth or routing to a different department. You’ll check various platforms before asking questions. You’ll move cases from “waiting” to “closed,” update tracking files, and provide clear guidance to the people requesting signatures — helping them understand what’s missing and how to fix it. Along the way, you’ll bring structure to folders, make it easier to find past agreements, and contribute to improvements in how we work together.

What you’ll do: Responsibilities

Monitor and manage the Mailbox, reviewing requests and identifying next steps. Determine whether documents are ready for signature. Follow up on missing or unclear data. Confirm if a current DocuSign envelope should be voided, or if a new one is needed. Identify signature flows, client-side order, and whether another team has already taken action. Route requests to the correct department when needed. Check multiple platforms before responding: U.S., EMEA, APAC DocuSign, Client Central, WebSignature, SharePoint. Track case statuses: pending, uploaded, closed — and organize them in corresponding folders. Review and support a variety of document types: GMSAs, work orders, amendments, SOWs, tax letters, security incidents. Assist with locating past agreements using inbox archives, email, or physical records (Dutch office paper archive). Support team collaboration internationally, especially during vacations or high-volume periods.

What you can expect on a typical day:

Process new emails in the Group Mailbox. Follow up on pending requests with missing information. Review DocuSign envelopes and confirm next steps. Organize incoming documents into the correct folder structure. Update the tracking file and escalate any urgent items. Jump into a WebEx or two to clarify details or assist a colleague. Spot-check SharePoint for missing or duplicate documents. Collaborate with team members in both EMEA and U.S.

TO SUCCEED IN THIS ROLE: Requirements

 

Excellent attention to detail and organizational skills.
Strong written communication — especially in follow-ups and templated messages.
Familiarity with document workflows, legal agreements, or contract management.
Confidence to work independently and ask the right questions at the right time.
A service mindset and a proactive approach to solving problems.
Ability to prioritize tasks and manage time across competing deadlines.

This is an hourly role, so the ability to work flexible hours and/or overtime during month, quarter and year-end will be necessary.

Bonus points for these:  Preferred Qualifications

Have supported global teams across multiple time zones.
Understand signature flows.
Are experienced with WebSignature or eSignature tools, such as DocuSign.
Are familiar with archival processes or physical document storage.
Speak Dutch and English
