Job Title: Project Administrator
Job Description
The Project Administrator will collaborate extensively with the Project Manager and Field Superintendent to manage project-specific documentation, billing/invoicing, pay applications, job costing, pre-qualification, and submittal needs for various projects. This role involves utilizing multiple construction-specific web-based information exchange software.
Responsibilities
Work closely with project managers, superintendents, and vendor partners to administer multiple projects and schedules.Ascertain project scope for newly awarded projects and participate in handoff meetings.Handle inquiries from vendor partners with excellent communication, fostering cooperative and professional skills.Understand client partner requirements regarding revision management, close-out documentation, change order administration, and progress reporting.Prepare Sub-Contracts, Purchase Orders, Change Orders, Monthly Applications, and Time & Material invoicing for payment, and track the status of each for prompt return and thorough execution.Coordinate and/or obtain all close-out documents, such as warranty letters and product information, and prepare close-out documentation for clients.Address billing discrepancies jointly with the Project Manager.Participate in Project Management meetings as required.Coordinate submittal management.Partner with Field Superintendents to coordinate project-specific needs such as drug screening or meeting project deadlines.Essential Skills
Proficiency in project administration, job costing, purchase orders, change orders, time and billing, invoicing, and project coordination.Basic accounting knowledge as it pertains to projects.Proficiency in Microsoft Office products, including Excel, Word, PowerPoint, and other Microsoft applications.Strong organizational skills with the ability to prioritize tasks and manage multiple projects.Ability to work effectively under pressure and multitask.Strong verbal and written communication skills.Detail-oriented approach and self-starter attitude.Additional Skills & Qualifications
Experience in the construction industry is an advantage.Experience with Vista Viewpoint, Dropbox, Bluebeam, Aconex, Procore, and other information exchange systems is highly desirable.Resourceful, creative, and adaptable to changes.Professional demeanor and problem-solving skills.Work Environment

Pay and BenefitsThe pay range for this position is $24.00 - $29.00/hr.
