**Primary Function**
The Event Services Associate will ensure the optimal operation and maintenance of meeting and event spaces at the client’s headquarters, including but not limited to their conference and event center space. The successful candidate will perform a variety of tasks aimed at enhancing the usability and comfort of our meeting spaces while providing consistent, quality hospitality service daily.
**Duties & Responsibilities**
+ Print and review setup details daily for both the Center and the East (GA, Innovation rooms). Stop by the Management Office each morning to receive daily updates and directions.
+ Check all conference rooms for readiness and ensure they meet the organization's standards.
+ Maintain and update operating instructions, resource guides, and training materials at each location for reference.
+ Provide information on site amenities, including accessibility features, upon request.
+ Interact with stakeholders in a professional manner and always provide quality service.
+ Provide Wi-Fi access, assist with printing needs, offer refreshments where appropriate, and ensure availability of amenities, including stocked beverage stations, restroom supplies, and conference room essentials (e.g., pens, pads).
+ Assist with visitor flow during peak times, manage coat and luggage checks, facilitate larger event check-ins, and support high-traffic times (e.g., breakfast/lunch service).
+ Place signage around the Client conference center or lobby as directed, receive deliveries for the conference center, and ensure they reach the appropriate locations.
+ Provide coverage for Concierge for daily breaks
+ Greet employees and guests, provide relevant site policies, safety information, and orientation support. Ensure guests are escorted to their destination.
+ Assist with general maintenance by entering service requests and providing access to contractors as needed.
+ Manage request tickets in PlanOn in a timely and efficient manner.
+ Address guest or employee complaints by notifying management and relevant stakeholders; document issues in the complaints log for training purposes.
+ Perform ongoing meeting room refreshes at the direction of clients during vacancies, including daily space resets to restore rooms to their standard state.
+ Proactively ensure that all conference rooms within client’s campus are stocked with necessary materials, whiteboards are maintained, and AV equipment is cleaned and organized.
+ Ensure that all room set-ups are completed per detail in the event management system.
+ Support conference teams to ensure that all facilities’ needs are met (i.e. tables/ chairs/ tablecloths and other furniture needs are where they need to be for a successful event. Fulfill all table requests.
+ Turnover event spaces in a timely fashion to ensure that all events and meetings are properly set, sometimes with outside moving team.
+ Provide on-site support for last-minute needs or changes.
+ Maintain cleanliness and organization of event spaces and storage rooms.
+ Conduct pre-event checks to meet client specifications and safety standards.
+ Support for special events (e.g., Summer games, Take action etc.)
+ Requires flexibility to support in whatever role is required.
**Skills & Qualifications**
+ Must be able to lift between 25 – 50 lbs.
+ Must be a proven proactive client-facing lead and collaborator
+ Strong results orientation with a flexible attitude to deliver seamless and timely services to customers
+ Ability to interface quickly and effectively with a variety of people including team personnel, clients, and vendors to establish productive, ongoing relationships
+ Proficiency in Microsoft Office
+ Excellent organizational, multitasking ability
+ Familiar with productivity software, analytics software and service desk operations software and best practices.
+ Knowledge of AV equipment and general collaboration technical requirements.
**Education & Experience**
+ Bachelor’s Degree in Communications, Audio/Music, Electronic Engineering, or related field preferred.
+ 2+ years of experience with the setup, operation and troubleshooting of conference rooms, control rooms, auditoriums, theaters, hotels and/or broadcast environment
