Community Operations Specialist - Golden Oak
**About the Role & Team** The Community Operations Coordinator supports the operations of a luxury residential community, at Golden Oak! The Community Operations Specialist is an hourly role, reporting to the Community Association Operations Manager. You will become an integral part of the Community Operations team, which focuses on delivering a bespoke, hassle-free experience for residents, vendors, and internal and external partners within this first-of-its-kind luxury residential community. The Community Operations Specialist will bring their strong, upstart work ethic, fierce sense of personal responsibility, and passion for collaboration to support the daily management of the community. This role is based primarily in an office setting, but the Community Operations Specialist should be ready to work outside in the community as required in all weather conditions. **What You Will Do** + Serve as the main point of contact for the team as you receive and initiate communications via email, phone, and in-person, as well as documentation. + Build strong working relationships with residents, vendors, and stakeholders to help proactively identify questions and challenges before they are raised. + Champion the resolution of concerns, complaints, and challenges to the satisfaction of the resident and the Association. Be comfortable with managing any escalated interactions with poise, patience, and confidence. + Assist in managing and processing accounts payable to vendors for services provided, as well as accounts receivable from residents paying assessments and other fees. Carefully document receipts, invoices, and statements to maintain financial controls. + Support the Community Association Managers in preparing and sending official communications, including meeting notices, community standards notices, architectural process notices, and more. + Guide Residents through administrative processes as needed: new resident onboarding, architectural control requests, community standards resolutions, access control system usage, online payments, etc. + Analyze our existing business processes, looking for ways to enhance the experience and reduce complexity. Share your improvement recommendations and implement solutions as they are approved. + Generate a variety of reports through multiple systems and assist in planning and executing internal and external meetings both online and in person. Help keep Association records updated while maintaining strict confidentiality. + As needed, help to maintain our shared offices, including the inventory and ordering of supplies, repair and replacement of tools/office machines, and other general administrative tasks as assigned. + Able to work a flexible schedule including weekdays, weekends, evenings, and holidays as required. **Required Qualifications & Skills** + 3 + years of experience in a Guest-facing hospitality role + 2 + years of experience working with the affluent market and/or VIP clientele + An individual accountability as a motivated self-starter who takes pride in the quality of their work + Ability to develop and maintain a positive working relationship with residents, Cast Members, clients, and vendors, all while fostering a team environment + Computer proficiency, with specific comfort using Office 365 products such as Outlook, Word, Excel, and web-based applications + Organizational skills with attention to detail and ability to handle multiple priorities, keeping focus on achieving results + Problem solving skills, as well as continuous improvement process skills + Communication skills in various forms, including professional telephone etiquette, while interfacing with all levels of senior leadership and different audiences **Preferred Qualifications** + Experience in Disney Guest Relations, Guest Services, Concierge, Premium Services, or administrative roles + Experience with community association management + Experience working with third-party contractors + Outstanding business grammar and syntax skills + Language skills **Preferred Education** + Associate’s degree or equivalent in business, communications, theme park/hotel management, or related field, or three years’ related experience Our Benefits: Disney offers a rewards package to help you live your best life.
