Job Description

The Commercial Lease Administrator supports and enhances the leasing and operations processes for commercial, billboard, and cell site businesses. This role requires a blend of administrative precision, marketing creativity, and analytical thinking. The ideal candidate will have experience in market analysis, revenue forecasting, and commercial real estate marketing. They will play a key role in tenant onboarding, lease administration, and cross-functional coordination, while also contributing to strategic insights through data tracking and reporting.

 

Duties:

Conduct market research and analysis to identify trends, competitive positioning, and opportunities for growth.Forecast leasing performance and revenue across commercial, billboard, and cell site portfolios.Create, design and manage the marketing materials and collateral for each commercial property.  Work with prospects to submit full tenant application to lease.Work with accounting on any tenant rent or collection issues. Ability to gather, analyze, interpret and summarize billboard revenue share. Assist with tracking leads in excel or CRM and prepare monthly reports on leasing activity and performance.Send the welcome package out to new tenants and follow up on tenant requests as needed.Follow up on invoice, commission or security deposit payments as requested.Mange lease renewals schedules.Prepare lease drafts if needed and review all lease drafts before going out to tenant.Help schedule showings with PM’s as needed or advise PM’s of department site visits.Help leasing with vacant property key management.Maintain a complete and accurate list of all PM, DM’s, RM and FM’s for commercial properties.Assist with onboarding new employees or vendors.Implement creative marketing and advertising plans including updating and maintaining an online presence for vacant spaces.  Conduct due diligence during acquisition; download, organize, review seller files.Upload documents for Commercial and Acquisitions into Docuware.Prepare and collect all deal-related documents, and follow up with all parties on the execution as required.Ability to abstract and summarize key information from lease documents within the Yardi property management software platform.Add Google Earth pushpins for PS Properties, PS Commercial and Potential Portfolios.Special projects or duties as required.  

QualificationsMinimum of 5 years of experience working in lease admin/corporate real estate.  College degree preferred.Proficient in Word, Excel, Microsoft Outlook, Yardi, Power Point, Google Earth.  (Advanced Excel skills, preferred)Familiarity with commercial real estate marketplaces such as LoopNet and CoStar.Effective communication skills.Experience, knowledge and skills in managing projects in a high-volume environment.Excellent analytical, decision-making, project management, planning and organizational skills.Knowledge of property operations, including maintenance a plus.Some travel may be required.
