Commercial Administrator
Reporting to the Commercial Manager, the Commercial Administrator supports the Summit Helicopters Commercial Team through key administrative, reporting, and commercial functions. This role prepares operational and financial reports, manages Accounts Receivable tasks, handles helicopter charter quotes and scheduling, and maintains accurate data across company systems. Responsibilities also include device and vehicle tracking, travel logistics, and coordinating multiple software platforms, while providing seasonal operational support as needed.

***This is a resident role based in Kamloops, BC. Relocation is required.

Essential Responsibilities

Business Development Support

Monitor tender sites and identify new business opportunities.

Provide weekly updates and reports on RFP/RFI opportunities

Assist in proposal development and RFP responses

Track business development activities, contract statuses, and annual Standing Offer requirements.

Client Engagement & Scheduling

Manages client inquiries and facilitates general service-related communication.

Supports booking processes and updates scheduling information as needed.

Assists with maintaining client records and setting up new accounts in internal systems.

Provides clients with required organizational or service-related documentation upon request.

Coordinates internal meetings and ensures relevant information is shared with team members

Financial Coordination & Reporting

Provides support for routine financial activities, including data entry, transactional processing, and periodic reporting requirements.

Assists with the entry, review, and reconciliation of financial information within internal systems, with involvement in Accounts Receivable tasks as required.

Contributes to the maintenance of key performance reporting, dashboards, and shared communication channels.

Supports the processing and administration of operational documentation and related compensation records.

Ensures organizational records, operational documents, and supporting materials are accurately maintained and kept current.

Administrative Support

Provide after-hours/weekend phone coverage and manage phone schedule.

Support social media by gathering photos and providing updates.

Maintain and distribute internal administrative documents

Provide support to the administrative team on an as when/needed basis

Maintain company swag inventory

Carries out administrative tasks related to flight reports, flight following and pilot training

Manage general requests internally and externally

Vehicle & Device Management

Track and schedule maintenance for company vehicles and manage fuel cards.

Administer NSC records (if applicable) and vehicle distribution.

Maintain tracking for company devices (inReach, iPads, sat phones, Starlinks).

Travel Coordination

Arrange travel for crews and management.

Communicate travel updates and ensure all travel is logged accurately.

Maintain travel receipts and provide payment details when needed.

Trade Show & Event Support

Register for trade shows and coordinate booth setup and materials.

Organize promotional items and prizes.

Qualifications

Minimum 3-4 years of administrative experience, preferably in aviation.

Demonstrated proficiency in Cirro and/or comparable flight management software will be viewed as an asset.

Strong customer service background with a professional reputation.

Preferred experience in business development, aviation operations.

Proficient in Microsoft Office with the ability to learn new systems quickly.

Work involves coordination across multiple departments and interaction with clients, airport services, and external vendors.

Experience with database management; migration experience is an asset.

Strong keyboarding accuracy and attention to detail.

Excellent problem‑solving and organizational abilities.

Ability to manage multiple priorities independently and follow written procedures.

Strong verbal and written communication skills.

Ability to maintain confidentiality and adhere to privacy regulations.

Work Conditions

Full-time, on-site position based in Kamloops and the candidate must be willing to relocate.

4 x 10-hour day schedule (Friday–Monday), 7am-5pm

Initially training hours will be Monday-Friday, 8 hour shifts to start and transition to Friday-Monday position

Fast-paced, dynamic operational environment.

Must be able to accommodate a flexible schedule, including after-hours phone coverage.

Occasional travel may be required for events or operational needs.
