Your expertise in coordination and administration might be just what we’re looking for to support our operations across Iberia! **Your new role** As a Commercial & Administration Support, you will play a pivotal role in ensuring the coordination and execution of administrative, documentary, and logistical activities related to commercial, medical, and promotional initiatives. Your responsibilities will include: + Managing the approval process for promotional and non-promotional materials, ensuring timely review and approval within the Veeva system. + Collaborating with Product Managers to execute promotional initiatives. + Communicating approved promotional materials to health authorities (e.g., Institut Català de la Salut). + Preparing monthly "Transparency Reports" to report medical investments. + Managing Veeva PromoMats for uploading, tracking, and approving promotional materials. + Handling Veeva Vault for promotional and non-promotional materials. + Overseeing Veeva CRM activities, including sponsorship requests, contracts, speaker services, and validations. + Creating and supervising activities in Veeva to facilitate delegate investment requests. + Managing contracts with healthcare professionals for scientific meetings, ensuring their upload to relevant platforms. + Managing the complete billing cycle, including purchase orders (POs), service tracking, invoice validation, and budget reconciliation. + Providing logistical support, such as sending documentation, confirmations, or requested changes by speakers. + Creating and sending speaker contracts via DocuSign. + Reviewing delegate-entered activity information to ensure proper completion. + Assigning and managing internal codes for promotional materials. + Providing reception backup when the receptionist is not in the office. This role offers the opportunity to work closely with Marketing, Medical Affairs, Compliance, and Procurement teams, ensuring seamless execution of projects that align with Lundbeck's strategic goals. We’re looking for a talented individual with the following qualifications: + Education: Post-secondary technical or professional training in Administration and Finance or Marketing, or a university degree in a relevant field such as Business Administration or Marketing. + Minimum of 2 years of experience in a similar role, preferably within the pharmaceutical or healthcare industry. + Strong organizational and coordination skills to manage administrative and logistical tasks efficiently. + Strong expertise in managing the complete billing cycle, including purchase orders (POs), service tracking, invoice validation, and budget reconciliation. This capability will be essential for ensuring accurate financial operations and compliance. + Proficiency in using platforms such as Veeva PromoMats, Veeva Vault, and Veeva CRM is a mandatory requirement and will be a key metric for success in this role. + Excellent communication skills to liaise with internal and external stakeholders. + Analytical abilities for reporting transparency, sustainability, and budget reconciliation. + A bachelor’s degree or equivalent qualification in a relevant field (e.g., Business Administration, Marketing, or Healthcare Management). + Languages: Spanish and English (C1 level, common in international environments).
