About this role:
We are seeking a detail-oriented and proactive individual to join our Credit & Collections team and focus on Refund Reconciliation and Collector Alignment.
In this role, you will be responsible for overseeing the incoming Accounts Receivable email traffic, identifying the appropriate team or Collector to forward emails to, and creating rules in Outlook to automate and streamline email responses. You will oversee Collector portfolio alignment and ensure systems remain in sync, to accurately assign transactions to the appropriate Collector. Additionally, you will assist with Client overpayment refunds by performing refund reconciliations and initiating refund requests. The ideal candidate will have strong analytical skills, excellent organizational abilities, anda keen eye for detail.
What you’ll do:
Identify the appropriate team or individual to handle specific email inquiries and forward them accordingly.
Develop and implement rules in Outlook to automate email routing and minimize the need for manual responses.
Regularly review and update email routing rules to ensure optimal efficiency and accuracy.
Monitor and prioritize incoming emails, ensuring that urgent matters are promptly addressed and escalated if necessary.
Update and maintain Collector alignment information in multiple systems, to ensure each transaction has a clear and accurate point of contact
Provide exceptional customer service by responding to inquiries professionally and promptly.
Perform refund reconciliations by comparing unapplied cash receipts with transaction records and financial data.
Ensure accurate and timely processing of refunds by verifying refund amounts, customer banking information, and ensuring appropriate support isconsolidated for management review and approval.
Collaborate with relevant teams, such as Order Management & Billing, Sales, and Cash Applications to resolve any discrepancies or issues related to refund requests.
Maintain accurate and up-to-date documentation of refund reconciliations, email routing rules, and related processes.
Collaborate with cross-functional teams to improve refund processes, email management, and customer satisfaction.
What you’ll need:
Batchelor's or associate’s degree in finance, accounting, business administration, or a related field (preferred but not required) with minimum 1 years of equivalent work experience.
Proven experience in refund processing, financial reconciliation, or a similar role.
Strong proficiency in Microsoft Outlook, including advanced knowledge of rules and automation features.
Excellent analytical skills with the ability to identify discrepancies and resolve issues in a timely manner.
Exceptional organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to prioritize and manage multiple tasks in a fast-paced environment.
Strong problem-solving abilities and a proactive approach to resolving issues.
Ability to work independently and collaboratively as part of a team.
Knowledge of customer service principles and best practices.
Familiarity with relevant software including Oracle, PowerBi and tools for financial reconciliation and email management is a plus.
