Position Summary
We are seeking a detail-oriented and highly organized Client Services Associate to support our financial advisors with daily operational and administrative tasks. This individual will play a critical role in ensuring a smooth client experience—from preparing for meetings to supporting account operations and follow-up.
Key Responsibilities
Client & Advisor SupportSchedule client meetings and manage advisor calendarsPrepare materials, reports, and documentation for client meetingsAssist advisors with follow-up action items after meetingsBuild and maintain strong, trustworthy client relationships by delivering responsive, high-quality serviceAccount OperationsSupport new client onboardingOpen new accounts across multiple custodiansProcess various types of paperwork, forms, and required documentationHandle account maintenance requests, including beneficiary updates, address changes, and other service itemsProcess money movement requests (transfers, distributions, contributions, etc.)External Communication & CoordinationCommunicate with custodians and external financial institutions such as annuity and insurance carriersTrack and follow up on outstanding paperwork or service requestsMaintain accurate client records and ensure compliance with firm and industry standards
Qualifications2–5 years of experience in financial services, wealth management, or a related client service role (preferred)Strong understanding of investment accounts, custodial platforms, or advisor support operations (preferred)Excellent organizational skills with strong attention to detailAbility to prioritize and manage multiple tasks in a fast-paced environmentStrong verbal and written communication skillsProficiency with Microsoft Office; experience with CRM systems is a plusProfessional, positive attitude and a commitment to exceptional client serviceBachelor’s degree (preferred)
