Clerical Assistant, Undergraduate Nursing, Prince Albert

Primary Purpose: This position provides clerical assistance to ensure smooth operation within the Prince Albert undergraduate student office at the College of Nursing.  Providing professional assistance is instrumental to this position.  This position is also responsible for providing coverage and assisting with other clerical work within the College as needed.

Nature of Work: Reporting to the Undergraduate Programs Coordinator, this position is responsible for managing a daily routine to ensure ongoing efficient operation of the College of Nursing.  In addition to routine tasks, this position provides impromptu support to faculty and staff for a variety of clerical and administrative tasks as needed.  The position requires the ability to work independently and to solve problems without delay.  The position emphasizes teamwork and the provision of efficient and friendly support. It is driven by constant deadlines, continuous changes, and shifting priorities.  The standard for the quality of work and timely completion of tasks is high.

The College of Nursing is a distributed college with programming and sites across Saskatchewan, which will require the incumbent to have strong communication skills (e.g. verbal, non-verbal, written) and the capacity to be self-directed at times.

The E-Learning Centre contributes to the strategic goals of Nursing’s “Learn Where You Live” academic programming by leveraging institutional technology platforms and services for implementation within a distributed health professional college.

Accountabilities:

Provide clerical support for the Undergraduate Team at the Prince Albert Campus and for other Clerical Assistant positions in the College as needed, providing support for other campuses if required. Share responsibility for the general operation of the Student Office including primary responsibility for reception duties. Ordering supplies, distributing correspondence, filing, and answering phones. Assisting faculty and staff with preparation of course materials, coordination and recording of meetings, coordination of travel arrangements, preparation and distribution of forms, memos and other process related documentation, and coordination of special events as required. Other related duties as assigned.

Education: Minimum two years’ experience working in a fast-paced, multifaceted office environment is required. Knowledge of the policies and procedures of the College of Nursing and University of Saskatchewan would be beneficial.

Experience: Experience with working in project development teams.  Knowledge of best practice web publishing, Learning Management Systems, virtual classrooms, synchronous/asynchronous distributive learning tools, audience response systems and streaming media. Experience with SharePoint.  Experience with digital image manipulation and digital video editing (Adobe Creative Cloud). Knowledge of IT systems, solutions, and implementation in an academic setting is an asset.

Skills: Proficiency in Microsoft Office software including Outlook, Word and Excel is essential.  Effective organizational and time management skills with the ability to work efficiently in an environment of varied activity with frequent interruptions are also required. Strong communications skills with the ability to represent the College of Nursing in a professional and friendly manner are essential to the success of this position. Ability to respectfully interact and create positive relations with diverse faculty, staff, students, and community partners with a focus on tact, discretion, and cultural sensitivity, that ensures courtesy, confidentiality, and professionalism. The incumbent must also be resourceful and be able to solve problems and perform tasks with minimal direction.
