Posting Details Job Title Classroom Scheduling Manager Department REGISTRAR'S OFFICE Position Number FP500A Location Norfolk, VA Job Summary The Classroom Scheduling Manager in the Registrar’s Office is responsible for managing and optimizing the use of institutional classroom space to support the academic mission of the university. The position will work directly with Associate Deans and Chairs to revise, reset and optimize the scheduling of courses and the location those courses are taught, thus optimizing the course caps. The outcome of this position’s activities will result in an optimized scheduling system for students and more efficient use of adjuncts. The position will be responsible for system upgrades and implementations to achieve these scheduling goals. This role involves coordinating the scheduling of general-purpose classrooms for academic courses, final exams, and special events, ensuring alignment with institutional policies, space utilization standards, and academic needs. The Classroom Scheduling Manager collaborates closely with academic departments, facilities staff, and Information Technology Services ( ITS ) to assure appropriate arrangements for courses to take place, resolve conflicts, address room setup and technology requirements, and maintain accurate data within the scheduling system. Additional responsibilities include analyzing room usage reports, recommending improvements to scheduling practices, and supporting strategic planning and classroom upgrade efforts related to the instructional spaces. Position Type FullTime Type of Recruitment General Public Minimum Qualifications + Earned master’s degree from an accredited university in a related field of study. Or a bachelor’s degree from an accredited university in a related field of study with equivalent related work experience to a master’s degree. + Knowledge of the operational and functional aspects of student systems and classroom scheduling software + Knowledge of best practices within the registrar environment regarding optimization of course scheduling. + Understanding of business processes, automation capabilities, and opportunities for continuous improvement + Understanding of operations of the Registrar’s office and other offices throughout the institution + Understanding of the integration with other areas and systems + Ability to communicate operations and functionality to users + Critical thinking and ability to analyze data and information + Excellent customer service skills + Understanding of appropriate use of systems for business needs + Ability to recognize when an issue needs to be elevated to a higher level + Considerable experience managing classroom scheduling or similar academic efforts + Some prior experience working with EMS or related space scheduling software.
