CITES and Permit Coordinator I

Essential Job Duties:

Responsible for the creation of customs documents and of the application for import and export permits for animal samples (CITES applications) to the federal agency for nature conservation, for the application for epidemics and protection permits and for the completeness of CITES border crossing documentation.Coordinates and optimizes the documentation of e.g. health certificates, and is responsible for the completeness of legally required documentation.Responsible for close cooperation with authorities and with customs authorities regarding approval processes for import and export of samples.Creates shipping documents and commercial invoices for sample shipments and sends appropriate documents to clients or couriers.Closely cooperates with Sample Management, Shipping/Logistics and Couriers.Closely cooperates with the Study Direction, Governmental Agencies and Internal Veterinary teams to obtain required EHC or vet letters.Proactively monitor and manage pending and future requests by using the CMS tool or any other internal tools and proactively request and apply for proper documentation.Liaise at least weekly or as needed with the global CITES coordinators to share international shipments and ensure local import documents are ready.Maintain good tracking of all requests in the global SharePoint or local drives.Develop/Maintain SOP’s or guides as needed to ensure proper processes are in place.Crosstrain into Sample Management and Logistic, if needed/required.

Overall:

Acts as the contact for internal and external clients, for external transport companies and for suppliers.Performs quality controls and other reviews of data.Prepares and maintains SOPs.Performs other duties as assigned.

Experience:Relevant national level of education in comparison to High School Diploma or equivalent, CSE A level or equivalent required.A Bachelor’s degree (or higher) preferred.1-2 years professional experience in this or similar field.Regulatory experience required, and experience with working with government agencies preferred.
