YMCA Child & Family Development has provided quality child care in the GTA for over 40 years, and is the largest not-for-profit provider of Licensed Child Care in Canada. With more than 290 locations, we offer a variety of programs for children 0-12 years of age: Early Learning and Care (Infant, Toddler, Preschool, and Nursery); Before and After School Care (Kindergarten and School Age); and Family Support programs.

The Administrative Agent plays a vital role in ensuring the efficient administration of registration, communication, and data management processes. This position is responsible for conducting monthly audits of data entry activities for subsidized child care and summer day camp clients, using internal membership systems and municipal subsidy platforms such as OCCMS and CSIS. The role also supports accurate billing, timely reporting, and compliance with licensed capacity regulations through close coordination with internal teams, municipal partners, and third-party agencies.

In this role, you will:

Identify billing discrepancies between the membership registration system and municipal attendance systems (OCCMS, CSIS), and report discrepancies to the reconciliation team for communication to the Municipality. Manage amendments and withdrawals for municipal subsidized clients on a monthly basis. Manage class lists for each program to ensure that licensed capacities are not exceeded Manage telephone inquiries and ensure that relevant and quality service and information are provided. Work closely with Licensed Child Care and Day Camp Managers, site staff, regional support staff (municipalities), and third-party agencies. Collaborate with administration teams to ensure data accuracy and timely reporting. Manage timelines and meet specific deadlines related to the re-registration process. Perform other duties as assigned.

 

You bring:

Completion of post-secondary courses in a related field or equivalent experience. Experience in data entry. Experience and/or knowledge of programs within the YMCA Child and Family Development. Proficient with Microsoft Word and Excel. Proficiency with ActiveNet an asset. Ability to communicate in a thorough, clear, and timely manner to support information sharing. Ability to work effectively with others in a team environment, including support to those who are not the incumbent's supervisor. Organizational skills; attention to detail. Motivated, positive individual who enjoys the challenge of a fast-paced environment. Well-developed interpersonal and relationship-building skills; ability to establish rapport and excellent communication with members, staff, and volunteers. Excellent written communication skills. Commitment to diversity, equity, inclusion, and building a sense of belonging.
