CDI Administrative Assistant (Fixed Term 12 months)

The CDI Administrative Assistant will be responsible for providing administrative support to the Pfizer Thessaloniki Site and Center for Digital Innovation Leader. The role involves leading/supporting some project initiatives as well as day-to-day administrative responsibilities. The duration of the contract will be 12 months.

What You Will Achieve

In this role, you will:

Provide comprehensive administrative support to Site Lead, including managing records, verifying data, responding to emails, and scheduling meetings.

Serve as the key point of contact for administrative activities, ensuring smooth operations within the team.

Manage Site Lead calendar

Manage Site Lead expense reports

Organize group activities for Site Lead team (dinners, teambuilding activities etc)

Create & maintain DLs.

Coordinate with external stakeholders, in cooperation with Communications Team and Embedded Innovation Team, for Site Lead participation in external events (invitation/links, send presentations, short bio etc)

Manage Global visitors process in cooperation with Site Operations team

Support Site Lead and CDI LT in the organization of on-site events and visits (invitations, visitors access, catering, tour set up etc)

Liaise with travel agency to arrange Site Lead travelling (air tickets, accommodation etc)

Liaise with agency for the organization of large-scale off-site events (venues, F&B, accommodations, tickets etc)

Create agendas, schedule appointments, and issue meeting minutes for meetings and conference calls.

Raise POs for CDI colleagues Mobile Refresher or new Hirings Mobiles & Home Equipment

Assist CDI colleagues on raising PO if it is needed for Event Meeting per DLT line (upon confirmation CDI Finance Lead)

Gather/collect, track, verify team information including organizational assignments/tasks, status, supplies needed, etc.

Here Is What You Need (Minimum Requirements)

Minimum of a bachelor’s degree required

Demonstrated working experience as an executive administrative assistant or coordinator experience

Proficiency in executing administrative tasks, including demonstration of high-quality work delivered on time

Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Teams, and OneNote

Detail-oriented approach to work with strong organizational skills and follow-through

Excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of management

Problem-solving mentality, including resourcefulness and ability to work across functions (i.e., finance, IT, facilities, site management) to resolve issues as they arise

Proven ability to prioritize activities and work independently, including handling multiple tasks with tight deadlines and working well under pressure

Excellent attention to detail, time management, organization, and prioritization skills.

Self-starter, proactive, solution-seeking attitude, anticipates team needs and actively identifies opportunities

Ability to work effectively in a team-based environment and partner with internal/external stakeholders.

Strong English capabilities

Bonus Points If You Have (Preferred Requirements)

Prior experience as an Administrative Assistant supporting executive leadership in a global organization

Knowledge of the pharmaceutical industry and healthcare environment

Experience in training others and providing guidance to the team

Strong organizational skills and the ability to manage multiple tasks simultaneously

Proactive approach to work and the ability to initiate follow-up actions
