(CDH) Center for Digital Health Portfolio Coordinator
Position Highlights:
The Center for Digital Health (CDH) Portfolio Coordinator is responsible for supporting the CDH Portfolio Services team by overseeing the project intake, providing insight into capacity planning, and creating transparency into CDH's portfolio health and financials. The Coordinator will facilitate the portfolio intake process which ensures services/products/projects that enter the portfolio align with the overall enterprise strategic objectives and goals. They will gather estimates, monitor actuals, and report on projected resource capacity to aid in the planning and scheduling of initiatives within the CDH portfolio. This position will also maintain an enterprise-wide viewpoint to collect and report on key performance indicators (KPls) with regard to the overall health and finances of the CDH project portfolio. The CDH Portfolio Coordinator will support the mission and vision of the organization while acting in the best interest of both the Center for Digital Health and the organization by completing many tasks including: planning, coordination, scheduling, analysis, presentation development, and reporting.Responsibilities:
Receive and process all project requests for the CDH department. Handles and resolves PPM tool inquiries and help requests received through the queue. Ensure project proposals meet standards for moving through the intake process and align with CDH and Moffitt strategic goals. Ensure status of all intake activities is current. Report and document status of intake items based on responses from various intake stakeholders. Facilitate timely decision making to appropriately capture requirements, estimate resource needs, and identify funding to proceed with the scheduling of projects. Develop and maintain a high-level understanding of the business objectives of the CDH portfolio. Gather data to review and provide high level analysis of resource allocation based on current resource assignments. Conduct portfolio analysis and provide insights and recommendations on delivery risk, work sequencing, work interdependencies, resource capacity, funding availability, and the execution of quality and timely delivery. Ensure projects in the CDH portfolio are updated and accurate in compliance with all governance policies and procedures. Ensure all project financial data is accurate, relevant and at the proper level of detail. Prepare necessary materials for governance meetings, then follow up on important actions and decisions from these meetings. Support project and executive reporting needs of CDH Portfolio Services, developing multi-level presentations as needed. Monitors and tracks PPM tool user adoption/compliance. Gather data to support creation and reporting on portfolio metrics. Collect appropriate information for effective tracking and communication of portfolio status and metrics. Collect and report on CDH portfolio financials including baseline, actual, and forecast budgets and funding. Establish and maintain CDH portfolio dashboards for executive review and council meetings. Create, maintain, update and report on Key Performance Indicators (KPls) for the CDH portfolio. Assists in the development of CDH Portfolio Services communications, including newsletters, dashboards, and status reports. Makes decisions and recommendations clearly linked to the organization's strategy and financial goals, reflecting an awareness of external dynamics. Bachelor’s Degree – field of study : Project Management, Business Administration, Information Technology or related field Minimum of three (3) years of demonstrated experience in project coordination and portfolio administration, including experience coordinating activities related to project implementation/management required.Skills/Specialized Training:
Demonstrated knowledge with project management methodologies (for example, PMI, Prince II and Agile) with experience involving the planning, execution, and monitoring of multiple projects Demonstrated ability to effectively working in a matrixed environment and interacting with all levels of leadership Demonstrated proficiency using project management/project planning tools (i.e., MS Project, Planview, JIRA) Proficiency in MS Office and advanced skills in Excel and Visio Exceptional verbal and written communication skills Expertise in setting and managing customer expectations Effective influencing and negotiating skills within context of political sensitivity and conflicting interestsPreferred Experience / Certifications:
Relevant experience in a research, academic, scientific, or healthcare environment is preferred. CAPM or PMP certifications preferred
