**About the Role: CBS Bilingual Secretary (6-Month Contract)**
Are you a highly organized and proactive professional who loves making things happen? At Colgate Business Services, we're looking for an **CBS Bilingual Secreatry** to be the operational heart of our office for a **6-month period** . This is a great opportunity to join our team and make an immediate impact. In this role, you'll be the go-to person who keeps everything running smoothly for our leadership team and our entire office, from managing daily tasks to organizing great events.
This is a dynamic position where you'll use your skills to handle a wide range of responsibilities, ensuring our leaders can focus on their priorities and our employees feel connected and supported. You'll be the one who makes a real difference every day.
**What You'll Do:**
+ **Support Our Leadership:** Provide crucial administrative support to our Directors and offer guidance to managers and team members as needed. You'll be a key resource, helping everyone navigate company policies and procedures.
+ **Handle Travel Logistics:** Coordinate all travel and transportation arrangements for our CBS MX Leadership team and visitors, including booking flights, hotels, and car services.
+ **Manage Financial Processes:** Be the first point of contact for financial systems like ARIBA, expense reports, and travel requests. You'll also create and monitor purchase orders and reconcile any discrepancies.
+ **Coordinate Events:** Plan, coordinate, and execute a variety of site-wide events and celebrations, such as holiday gatherings, team meetings, forums, and town halls. You'll also handle internal communications to keep everyone informed.
+ **Help New Employees:** Play a key role in the new employee orientation process, assisting with IT requests and preparing welcome kits to ensure they have a great start.
+ **Assist Our Expats and Visitors:** Serve as the point person for international visitors and expats, helping with everything from housing and banking to vehicle assignments and personal documentation.
+ **Keep the Office Running:** Manage daily office needs, including coordinating vehicle maintenance for the leadership team and ensuring office and coffee station supplies are well-stocked.
**What You'll Bring:**
+ A **Bachelor's Degree** with **3+ years of experience** supporting senior management.
+ **Excellent communication skills** in both written and spoken English.
+ **Strong organizational skills** and an exceptional eye for detail and accuracy.
+ A **proven ability** to plan and organize group activities and events.
+ The ability to handle confidential and sensitive information with professionalism.
+ A proactive and flexible mindset to manage multiple priorities and work well under pressure.
+ **Preferred experience** with systems like SAP, CONCUR, or ARIBA.
