Manages the day-to-day operation of the Catering department. Responsible for contracting new business, ensuring return business, planning and coordinating meetings/functions/golf events/member events, and overseeing the execution of catering events. Creates memorable guest moments while maximizing facility revenue and profitability.
Essential Duties:
Book new business and ensures return business through efforts (sales calls, telemarketing, social media posts, networking, etc..) in order to meet or exceed revenue goals. Participates in pre-event presentations, property tours, and customer meetings.
Respond to incoming catering opportunities for the club.
Proactively solicits new catering business to achieve personal and club revenue goals.
Uses negotiating skills and creative selling abilities to negotiate and close contracts.
Creates proposals and contracts as required.
Creates detailed Banquet Event Orders for all golf groups and events assigned.
Conducts facility tours and site visits for groups assigned.
Possesses operational knowledge.
Possesses software knowledge (Microsoft Office, POS, Proposal Path, EZ Links, etc.).
Works closely with the Director of Golf Sales and Tournament Coordinator on all golf tournaments and groups booked at the club and coordinates all food and beverage, on course needs, and execution of all golf groups from start to end.
Works closely with the Director of Catering and Executive Chef on creating menus for groups.
Coordinates all member events at the club to ensure a seamless service delivery.
Effectively communicates with guests to confirm, coordinate, and update details for scheduled catering events.
Makes presence always known to customers during the event.
Coordinate, upsell and detail the function with the client including space requirements, timing, equipment, rentals, menus, décor, etc. Completing contracts, preparing the appropriate paperwork, coordinate with appropriate departments, and execution of events.
Ensures proper management of all catered events, including, but not limited to: basic set up, table placement, buffet design, bar location, sales, marketing, planning, merchandising, servicing, and corresponding administrative procedures.
Ensures compliance with health, safety, and legal regulations during events. Implement proper food handling procedures, monitor alcohol service, and address any safety concerns or emergencies that may arise.
Displays leadership in guest hospitality and ensures consistent, high-level service throughout all phases of club events.
Develops a marketing plan designed to increase revenue growth in both the corporate and social markets.
Prepares, implements, and compiles data for various reports such as Weekly Catering Revenue Forecasts, and other reports as directed.
Assists in the development of catering and banquet menus, banquet wine lists and bar menus, pricing, catering contracts, and rental fees.
Ensures accurate and timely invoicing for all services rendered, to include recording events in the POS system.
Develops an annual calendar, listing all of the existing catering events. Communicates with various departments regarding event details to ensure successful completion of all events.
Develops banquet event orders and conducts weekly meetings to review with staff. Develops and distributes a 10-day forecast with complete banquet event orders.
Solicits appropriate event feedback to include addressing complaints and resolving problems.
Manages department members and assists in providing operational direction to team members including: Banquet Captain, Servers, Bartenders, Setup Staff.
Assures that effective orientation and training are given to each new associate. Develops ongoing training programs.
Responsible for implementing and maintaining excellent service to achieve guest satisfaction.
Communicates any changes or new policies and procedures to the department.
Attends trade shows, wedding shows, etc. as assigned.
Regular and reliable attendance.
Conducts pre-shift meetings with team members.
Leads weekly banquet event order meetings.
Performs other duties as required.
Displays exceptional verbal and written English communication skills.
Education, Experience, Job Knowledge, Skill & Ability Preferences:
Bachelor’s degree and one to two years related experience; or equivalent combination of education and experience.
Prior supervisory and management experience.
Ability to read and speak English is required in order to perform the duties of the job.
Strong leadership and team management skills, with the ability to motivate and develop a team while being a team player.
Strong organizational and multitasking abilities to handle multiple events simultaneously.
Knowledge of event planning processes and logistics.
Attention to detail and a focus on delivering exceptional customer service.
Ability to work under pressure and adapt to changing event dynamics.
Strong closing skills.
Knowledge of Microsoft Office applications and POS systems.
Flexibility to work early morning, evenings and weekends.
Demonstrate a strong commitment to company values.
Exceptional personal hygiene and positive representation of the organization to Troon employees, clients and vendors.
Physical Demands:
Frequently stands, walks, sits, talks and hears; regularly uses hands, tastes and smells. Regularly reaches with hands and arms, stoops, kneels, crouches. Occasionally climbs or balances. Frequently lifts up to 25 pounds and occasionally lifts up to 100 pounds.
Environment:
Works in outdoor weather conditions. Noise level is moderate.
Certificates/Licenses:
ServSafe Certified (Food & Alcohol) or TIPS equivalent
