Our people division is growing, and we are seeking a detail-oriented and proactive Fleet Tracking Administrative Coordinator to support its Light Vehicle maintenance operations. This position plays a key role in keeping our light vehicle fleet running efficiently by managing data, scheduling maintenance, and ensuring full compliance with safety and regulatory standards. This role works closely with maintenance supervisors, planners, technicians, and operations teams across multiple sites.

Responsibilities:
Maintain accurate digital records for the Light Vehicle Fleet, including commuters, support equipment, and service vehicles. Track and update preventive maintenance schedules based on hour-meter readings, mileage, or calendar cycles. Monitor and enter equipment usage data from telematics systems, shift logs, or operator reports. Create and manage work orders for inspections, repairs, and scheduled services using fleet software (e.g., SAP, Fleet Track, or similar). Generate weekly and monthly reports on fleet status, utilization, downtime, driver behavior and cost trends. Assist with tracking and coordinating mobile equipment inspections, certifications, and safety checks. Maintain compliance records related to MSHA, other regulatory, and company policies. Manage and Maintain driver information and data for driver behavior reporting. Act as the administrative liaison between field maintenance personnel, supervisors, and external vendors. Help track asset availability, deployment, and movement between pits, sites, or departments.Qualifications:
1–2 years of administrative experience in mining, industrial, or light vehicle environments. Familiarity with fleet tracking, work order systems, or maintenance planning tools. Proficiency with Microsoft Excel, Outlook, and common digital filing systems. Excellent organizational and time management skills. Strong attention to detail and ability to process large volumes of data accurately. Solid communication skills for working with cross-functional teams and vendors. Experience with maintenance software such as SAP, Telematics, FleetTrack and or similar fleet data tracking systems Basic understanding of light vehicle equipment and preventative maintenance cycles.
