Reporting to the Director of Career Advising in the School of Medicine, this position provides longitudinal, personalized advising that supports students from matriculation through graduation. The Career Advisor collaborates with faculty, specialty advisors, and student affairs professionals to deliver comprehensive career planning services, including one-on-one advising, group workshops, and resource development. This role also participates in the implementation and continuous improvement of the AAMC Careers in Medicine program across the WWAMI region (Washington, Wyoming, Alaska, Montana, and Idaho), ensuring equitable access to advising resources for students across six foundational campuses and over 200 clinical training sites. This position operates within a highly distributed medical education system, requiring coordination across six foundational campuses and over 200 clinical training sites in the WWAMI region. The Career Advisor must navigate varying institutional cultures, advising capacities, and student needs while ensuring consistency and equity in career advising services. A key complexity of the role is its direct involvement in preparing students for the high-stakes residency match process, where outcomes significantly impact students’ professional trajectories and institutional reputation. The Career Advisor must balance individualized support with large-scale program development, faculty engagement, and continuous quality improvement, all while responding to evolving match trends, specialty competitiveness, and student wellness concerns. Frequent collaboration with diverse stakeholders and evolving external pressures requires adaptability, discretion, and strategic thinking in a dynamic and high-pressure advising environment. The Career Advisor plays a critical role in advancing the University’s mission to support student success, equity, and professional development across a distributed medical education system. By delivering high-quality, personalized career advising and coordinating longitudinal programming aligned with national standards, this position directly contributes to the preparedness and competitiveness of medical students entering residency. Through strategic collaboration with faculty, staff, and leadership across the WWAMI region, the Career Advisor strengthens institutional advising infrastructure, promotes consistency across campuses, and ensures equitable access to career development resources. This role also supports continuous quality improvement and innovation in advising practices, enhancing the University’s reputation for excellence in medical education and student support. **DUTIES AND RESPONSIBILITIES** **Individual and Group Career Advising (70%)** + Provide longitudinal, personalized career advising to medical students across all phases of the curriculum. + Conduct one-on-one and group advising sessions focused on specialty exploration, elective planning, and residency preparation. + Guide students through the AAMC Careers in Medicine program, integrating self-assessment tools and specialty-specific resources. + Support students navigating complex match scenarios (e.g., dual applications, couples match, Supplemental Offer & Acceptance Program). + Facilitate referrals for students in need of support services. + Maintain accurate records of advising interactions and generate monthly productivity reports for leadership. **Program Development & Resource Management (15%)** + Develop and conduct career development programming, including workshops, webinars, and specialty panels. + Collaborate with faculty, specialty advisors, and student organizations to ensure equitable access to advising programs and resources across WWAMI campuses. + Support the development of online career advising resource content for medical students and faculty. + Liaise with registered student organizations, honor societies, and student advisory boards. + Support onboarding and training new faculty Specialty Career Advisors. **Strategic Collaboration & Continuous Improvement (10%)** + Partner with staff and faculty stakeholders to identify emerging advising needs and trends. + Serve as a liaison to the Specialty Career Advisors and College faculty mentors, promoting consistency and sharing best practices across advising efforts. + Support continuous quality improvement (CQI) efforts through student feedback, data analysis, and program evaluation, and in partnership with the Career Advising Student Advisory Board. + Maintain and expand a referral network of faculty advisors and support services to strengthen the advising infrastructure across WWAMI campuses. **Institutional Engagement & Professional Development (5%)** + Engage in ongoing professional development through conferences, workshops, online courses, and institutional training opportunities, with flexibility based on available resources and funding. + Participate in regular team meetings, retreats, and cross-functional collaborations within Student Affairs and Academic Affairs. + Serve on Academic Affairs and School of Medicine-wide committees and workgroups related to student advising and career development. + Contribute to School of Medicine, Student Affairs, and Academic Affairs initiatives, programs, and events as needed, in alignment with institutional priorities and evolving student needs (e.g. orientation, exam proctoring, accreditation site visits, graduation, etc). + Perform other duties as assigned to support the medical student program. **MINIMUM REQUIREMENTS** + Master’s degree in education, counseling, public health, student affairs, or a related field. + Minimum of 3 years of experience in academic advising, pre-medical advising, career advising, or undergraduate/graduate medical education. _Equivalent education and/or experience will substitute for minimum requirements_ **Additional Requirements:** + Proven administrative, organizational, and problem-solving skills. + Strong oral and written communication skills, with the ability to interpret and convey complex policies and procedures. + Ability to work independently with a high degree of reliability, accuracy, and productivity. + Experience working in large, highly structured or distributed academic environments. + Demonstrated ability to maintain confidentiality and exercise sound judgment in sensitive advising contexts. + Capacity to manage cyclical workloads and respond effectively during high volume advising periods (e.g., residency application season). + Proficiency in using computer systems and digital platforms in a Windows environment. + Commitment to equity and inclusion, with experience supporting students from diverse racial, cultural, educational, and geographic backgrounds. **DESIRED QUALIFICATIONS** + Professional experience in medical education or health professions advising. + Familiarity with the AAMC Careers in Medicine program and NRMP Match process, including SOAP. + Experience designing and delivering advising programs, workshops, or asynchronous content (e.g., podcasts, online modules). + Knowledge of time-limited and evidence-based advising models. + Demonstrated ability to lead initiatives, collaborate across organizational levels, and contribute to continuous quality improvement. + Experience onboarding and training faculty or peer advisors. + Proven ability to innovate within structured environments and adapt to evolving institutional priorities. **CONDITIONS OF EMPLOYMENT** + Standard work hours are Monday through Friday during typical business hours; occasional evening and weekend hours may be required to support student advising, programming, or institutional meetings. + Work is primarily performed in an office setting, with a combination of computer-based tasks and in-person interactions with students, faculty, and staff. + The role involves regular use of digital platforms and tools to support advising, communication, and resource development across distributed campuses. + Travel is required annually to WWAMI regional campuses and clinical training sites, though it is generally infrequent and scheduled in advance.
