Job Type: Full-Time Under the supervision of the Senior Manager, Facilities, the Facilities Coordinator will perform project and support duties, as needed, to ensure the professional and smooth operation of the Facilities Department. This is an administrative position with some knowledge of field conditions. It is based out of the Head office in Windsor, CT. About the Role:
BrightPath is seeking a highly organized and proactive CAPEX Facilities Coordinator to support capital improvement projects across our centers. This role plays a critical part in ensuring that large-scale maintenance and upgrade projects are scoped accurately, delivered efficiently, and aligned with both operational needs and budgetary guidelines. Key Responsibilities: Receive and review requests for CAPEX-level projects from center surveys, emails, and maintenance staff. Validate project needs with Operations teams, including Area Directors and Center Directors. Collaborate with Leasing & Real Estate to determine responsibility (BrightPath vs. Landlord). Source and vet outside vendors using BBB ratings and online reviews. Serve as the primary liaison between contractors and center staff; communicate project scope and needs clearly. Coordinate scheduling and execution of work; ensure minimal disruption to center operations. Review vendor quotes for fairness and alignment with project scope. Generate and track Purchase Orders (POs); maintain accurate CAPEX budget tracking; provide reports to supervisor as needed Support Accounts Payable with invoice validation to ensure timely and accurate payments. Oversee project completion, ensuring alignment with approved scope and timelines. Managing communication between technicians, centers and vendors to ensure smooth operations and project completion Assist with day-to-day and emergency maintenance issues as needed. Job Qualifications/ Professional Characteristics: · Experience in facilities coordination, project management, or construction oversight preferred. · Strong organizational and communication skills. · Professional, polite, friendly, and flexible on the phone and in person. Maintain professional appearance · Experience in multi site management and ability to manage multiple projects and stakeholders simultaneously. · Maintain a strong work ethic, as evidence in attendance and positive attitude · Familiarity with CapEx processes, vendor management, and budgeting. · Proficient with Microsoft Office Suite, project tracking tools, and PO systems.
