**This is a fully onsite role, must be able to commute to Downtown Vancouver, British Columbia** 
**Higher Education or Post-secondary administrative experience is highly preferred**

Our client, a reputable university in Vancouver, is seeking a Campus Administrative  Assistant that will play a vital role in delivering excellent front-line service to students, faculty, staff, and guests by providing reception and general administrative support across campus. Reporting to the Manager of Campus Operations, this position oversees the university’s main reception area and supports the operational needs of campus offices, including the Executive Office. Responsibilities also include maintaining campus supplies and equipment, ensuring smooth daily operations.

Campus Administrative Assistant responsibilities:
Project Support Oversee and drive the coordination of departmental initiatives and projects within the senior executive office, managing efforts from initiation through successful completion. Define project parameters, establish key performance metrics, outline deliverables, and oversee timelines, budgets, and outcome tracking. Monitor project progress, proactively identifying potential risks and delays, and facilitate resolution strategies in collaboration with key stakeholders. Maintain centralized oversight of all active initiatives, ensuring thorough documentation and delivering concise summary reports to senior leadership. Engage with internal teams and external partners to gather critical input, align strategic objectives, and maintain momentum on key priorities. Conduct thorough evaluations of workflows and processes, providing strategic recommendations to enhance efficiency and optimize future project execution. Administrative Support Deliver outstanding customer service to all students, faculty and vendors. Answer and route incoming telephone calls and emails promptly and professionally. Welcome visitors and direct them to the appropriate campus offices or departments. Support campus security by managing facility access, monitoring any available security systems, and reporting concerns as necessary. Facilitate internal communications among staff and students as needed. Monitor and maintain inventory of office supplies to ensure consistent availability. Coordinate with external vendors regarding upkeep and servicing of office equipment. Manage bookings for meeting rooms and assist with event coordination as required. Provide administrative support for meetings, including setup and minute-taking when necessary.
The successful candidate has:
Exceptional customer service and communication skills. Typing proficiency of at least 40 words per minute with a high degree of accuracy. Competence in managing a multi-line phone system. Solid working knowledge of Microsoft Office Suite (Word, Excel, Outlook). Familiarity with office equipment such as printers, copiers, and fax machines. Strong organizational and multitasking capabilities; ability to prioritize effectively. Capacity to work both independently and collaboratively in a busy environment. Ability to remain composed and efficient in high-pressure situations. Understanding of the university’s programs, departments, and services. Professional demeanor and commitment to providing high-quality services.
