Job Title: Parts Coordinator / Buyer

Job Description

The Parts Coordinator / Buyer processes internal and external parts orders, generates purchase orders, and ensures timely and accurate parts fulfillment for the field service team and customers. This role manages inventory records, expedites critical parts, coordinates vendor returns and credits, and assists with physical inventory counts. In addition, the position supports warehouse operations, including shipping, receiving, and occasional parts delivery or pickup. The ideal candidate is highly organized, customer-focused, comfortable with basic calculations, and able to work effectively across office, warehouse, shop, and field environments.

Responsibilities

Process emergency and routine parts orders for the technical service field team.Process internal and external customer parts quotes and orders in a timely and accurate manner.Create purchase orders based on parts needs and submit them to appropriate vendors.Suggest parts recommendations and solutions to external customers.Perform warehouse functions such as shipping, receiving, and validating orders to ensure delivery accuracy.Deliver and pick up parts from vendors and customers as needed using company-provided vehicles during work hours.Maintain accurate and up-to-date inventory records across all parts locations.Expedite critical parts when necessary to support field service and customer requirements.Process vendor return authorizations for damaged or poor-quality products.Make inventory corrections, adjustments, and price changes in the system as needed.Maintain and track all core returns to vendors and ensure appropriate credits are received.Assist in bi-annual physical inventory counts for parts.Communicate and follow up with vendors and customers regarding order status, delivery updates, and any issues that arise.Use ERP software and Microsoft Office tools to manage orders, inventory, and documentation.Support procurement and inside sales activities related to parts and service.Provide excellent customer service through clear, professional communication with internal teams and external customers.

Essential Skills

High school diploma or GED.0–2 years of experience in a similar role or related field such as parts coordination, purchasing, inventory, or inside sales.Ability to use ERP software for ordering and inventory management; 1–2 years of experience with SAP is a plus.Proficiency with Microsoft Office, including Excel and database-related tasks.Ability to calculate figure amounts such as discounts, interest, commissions, proportions, and percentages.Experience making inventory corrections, adjustments, and counts.Strong organizational skills with attention to detail and accuracy.Effective verbal and written communication skills for frequent interaction with vendors, customers, and internal teams.Customer service mindset with the ability to respond promptly and professionally to inquiries and issues.Ability to support procurement and purchasing activities, including generating purchase orders and tracking deliveries.

Additional Skills & Qualifications

Associate’s degree (A.A.) preferred but not required.1–2 years of experience using SAP or similar ERP systems is highly desirable.Experience in ordering and processing emergency and routine parts orders for technical service teams.Knowledge of Caterpillar and Waukesha engines is a plus.Knowledge in oil and gas, industrial, or manufacturing environments is beneficial.Experience in inside sales or customer-facing roles related to parts or service is advantageous.Ability to work independently, prioritize tasks, and manage multiple orders and requests simultaneously.Strong problem-solving skills, especially in resolving order discrepancies, inventory issues, and vendor returns.

Work Environment

This role operates across office, warehouse, shop, and field environments, offering a mix of administrative and hands-on work. The position may require travel to vendor or customer locations and the ability to frequently lift up to 50 pounds. You will occasionally visit industrial and manufacturing settings and work closely with field service teams, warehouse staff, and office personnel. Tools and technologies include ERP systems (such as SAP), Microsoft Office (including Excel), and standard warehouse and shipping/receiving equipment. This is a Contract to Hire position based out of George West, TX.

Pay and Benefits

The pay range for this position is $26.00 - $33.00/hr.
