The Parts Coordinator / Buyer processes internal and external parts orders, generates purchase orders, and supports the field service team with timely and accurate parts fulfillment. This role manages inventory records, expedites critical parts, coordinates vendor returns and credits, and assists with physical inventory counts. The position also supports warehouse operations, including shipping, receiving, and occasional parts delivery or pickup. The ideal candidate is highly organized, customer-focused, and comfortable working across office, warehouse, shop, and field environments.
Responsibilities
+ Process emergency and routine parts orders for the technical service field team to ensure timely support for service activities.
+ Process internal and external customer parts quotes and orders with accuracy and attention to detail.
+ Create purchase orders based on parts requirements and submit them to appropriate vendors.
+ Recommend suitable parts to external customers based on their needs and equipment.
+ Perform warehouse functions such as shipping and receiving, including validating orders to ensure delivery accuracy.
+ Deliver and pick up parts from vendors and customers as needed, using the company-provided truck during work hours.
+ Maintain accurate and up-to-date inventory records in the system.
+ Expedite critical parts when necessary to minimize equipment downtime.
+ Process vendor return authorizations for damaged, incorrect, or poor-quality products.
+ Make inventory corrections, adjustments, and price changes in the system as required.
+ Maintain and track all core returns to vendors to ensure timely credits.
+ Assist in bi-annual physical inventory counts for parts and materials.
+ Communicate and follow up with vendors and customers to provide order status updates and resolve issues.
+ Use ERP software and related tools to enter orders, manage inventory, and support purchasing activities.
+ Support overall procurement and inside sales activities related to parts and service.
Essential Skills
+ High school diploma or GED.
+ 0–2 years of experience in a similar role or in a related area such as parts, purchasing, inventory, or warehouse operations.
+ Ability to process emergency and routine parts orders for the field service team and internal/external customers.
+ Ability to calculate figure amounts such as discounts, interest, commissions, proportions, and percentages.
+ Ability to perform inventory corrections, adjustments, and counts with a high degree of accuracy.
+ Basic knowledge of ERP software; 1–2 years of experience with SAP is a strong plus.
+ Proficiency with Microsoft Office applications, including Excel and working with databases.
+ Strong organizational skills with the ability to manage multiple orders, priorities, and deadlines.
+ Effective verbal and written communication skills for frequent interaction with vendors, customers, and internal teams.
+ Customer service mindset with a focus on responsiveness and accuracy.
+ Ability to work in office, warehouse, shop, and field environments and to lift up to 50 pounds as required.
Additional Skills & Qualifications
+ Associate’s degree (A.A.) is preferred but not required.
+ Experience with procurement, purchasing, or inside sales is beneficial.
+ Familiarity with Caterpillar and Waukesha engines is a plus.
+ Experience in the oil and gas or industrial equipment sector is advantageous.
+ Ability to perform basic and intermediate calculations for pricing, discounts, and commissions with confidence.
+ Strong attention to detail when entering orders, maintaining records, and reconciling inventory.
+ Ability to travel occasionally as required for parts delivery, pickup, or site visits.
+ Interest in long-term growth opportunities, including potential participation in company share programs where offered.
+ Comfort working both independently and collaboratively with field technicians, warehouse staff, and office personnel.
Work Environment
This role operates across office, warehouse, shop, and field environments, providing variety in daily tasks and exposure to different aspects of the business. You will regularly use ERP systems such as SAP, along with Microsoft Office and Excel, to manage orders and inventory. The position involves working around industrial and manufacturing settings on occasion, with some travel required for parts delivery and pickup. The role requires the ability to frequently lift up to 50 pounds and to move parts and materials safely. This is a Contract to Hire position based out of Odessa, TX.
Pay and Benefits
The pay range for this position is $26.00 - $33.00/hr.
