Business Support Specialist - North America Geography

This role will primarily support the North American Geography team and its stakeholders. It is responsible for ensuring the smooth and efficient operation of business activities by managing a wide range of administrative tasks. The position is expected to maintain a high level of organization, coordination, flexibility and productivity. This position requires a passion for client/customer satisfaction as well as the desire to continually tackle new challenges. This position often requires the handling of sensitive information with professionalism and integrity. The shift for this role will be the eastern and central time zones in North America. 

 

Calendar Management 

 

Responsible for managing calendar, including scheduling, accepting/declining meeting requests, setting up agenda, logistics, and peripherals needed for the meeting. 

 

Travel, Guest Support 

Responsible for making travel arrangements. As a host, he/she coordinates the agenda of incoming guests, assists on room reservation, temporary access card and other requirements for the guests’ visit. 

 

Record Management 

Manage correspondence, contracts, presentations, and proposals with elevated levels of discretion.  

 

Payment, Expense Support 

Adaptable to utilizing different systems needed to process payments and expenses. Coordinates with the vendor or corporate support when issues arise and ensures that payments and expenses are correctly coded, following finance timelines. Prepare monthly expense reports for both corporate and p-card transactions. 

 

Client Work, Project Management Support 

Responsible for document preparation including presentations, proposals, correspondence, contracting, and billing that adhere to branding and processing guidelines. Must be able to manage one’s own workload and complete assignments accurately and within the desired time. The individual in this role will also be responsible for facilitating production requests.

 

Meeting Coordination 

Responsible for coordinating internal and external meetings. Able to collaborate with the facilities team to ensure all logistics are effectively managed including securing meeting space, technology, materials, guest registration, and the like. 

 

CRM Support 

Utilizing a CRM system to provide support with contact maintenance, ICF meetings and the like. 

Qualifications | Requirements 

At least two years of relevant experience in administrative support roles preferred.  Proficient computer skills, including MS Office (Word, Excel, PowerPoint, CRM Systems).  Excellent verbal and written communication skills.  Able to work in a hybrid scenario (onsite and work from home).

Strong organizational skills and ability to manage own time and manage multiple tasks simultaneously, prioritizing workload effectively. 

Effective communication skills, both written and verbal. 

Diligence and accuracy in completing tasks.

Proficiency in using productivity software such as Microsoft Office Suite and other relevant software.
