JOB OVERVIEW

Business Support Specialist will provide a variety of business support in different projects to all R&D departments in Europe and NAM according to set policies and procedures. The role encompasses a variety of standard tasks and functions to assist the business unit. Serving as the first point of contact for numerous stakeholders, the role significantly influences the perceived reputation of the department it represents. 
Excellent interpersonal and communication skills are required, as demonstrated by the ability to work effectively with others at all levels of the organization and externally.

Tasks may include support in different projects, processes and systems, with usage of modern digital tools, however main scope will be support in raising/amending purchase requisitions.

Typical Accountabilities

Support in raising new purchase requisitions and amending existing purchase orders on behalf of R&D study leadersChecking status of PR and providing regular updates to customers to ensure there are no delays in purchase order being generated. Investigating PO issues on behalf of StakeholdersSupport in different projects requested by R&D Stakeholders if needed (for example: administrative support, Capital Management, SharePoint etc.) and ensuring improvement projects adhere to regulatory requirementsIndependently and pro-actively resolving issues and challenges related to supported projects and actively searching for continuous improvement in all areas to simplify ways of workingExhibit a comprehensive understanding of business operations and a strong dedication to customer satisfaction to effectively support a specific customer groupInitiate or engage in projects focused on improving processesActively contribute to knowledge sharing within the Team while identifying opportunities for improving processes and workflows, striving for more efficient operationsParticipate in training and development programs for specialists or other relevant training initiativesCollaborate with cross-functional teams to ensure data integrity and qualityProactively promoting modern digital tools like Modern SharePoint, MS Teams, MS Forms to help maintain “Digital R&D”Meeting all SLAs and KPIs established for R&D Central Business Support TeamAssuring all activities are compliant with AZ rules, values and behaviors

Qualifications, skills and experience:
Essential:

Fluency in English (min B2)Prior business support or customer service type of experienceAbility to exercise considerable discretion, judgment, tact and diplomacyDemonstrated abilities to take the initiative to respond to rapidly changing prioritiesAttention to details, multitasking, excellent organizational skills with a meticulous approach to tasksExcellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externallyDemonstrated ability to work successfully in a team environmentExcellent knowledge of working with IT tools and MS programs: Microsoft 365 applications, quick learning and implementation of new digital toolsExperience of working in a fast-paced global environment balancing competing prioritiesAbility to communicate effectively and confidentially with local and global stakeholdersAgility, flexibility and adaptability to meet changing business demands

Desirable:

Experience in communication with high level stakeholdersIdentify inconsistencies or discrepancies in data and troubleshoot potential issuesAnalytical skills with the ability to process and synthesize large volumes of informationSome project management skills to effectively manage small projects on behalf of the stakeholder/ line manager would be considered as advantageMicrosoft PowerPoint and Adobe skillsMicrosoft ExcelFamiliarity with Coupa system / Service Now
